Job Title: Virtual Medical Receptionist (Remote)

About the Client: Our client is a well-established U.S.-based healthcare provider specializing in skin health and treatment. They are recognized for their patient-focused approach, compassionate team, and commitment to delivering high-quality care in a supportive environment.

Overview: The Virtual Receptionist serves as the first point of contact for patients, providing a welcoming and efficient experience over the phone and through digital channels. This remote role is crucial in supporting smooth practice operations and ensuring excellent patient service on behalf of our U.S.-based healthcare client.

Responsibilities:

  • Appointment Scheduling & Coordination

  • Answer and manage a high volume of inbound calls using the Weave softphone system

  • Schedule, reschedule, and cancel patient appointments in the EMR system (Athena)

  • Fill cancelled slots promptly and manage waiting lists

  • Send appointment confirmations and reminders via phone, text, or email

  • Patient Communication & Support

  • Provide friendly, accurate information to patients regarding services, policies, and appointment logistics

  • Gather and verify patient demographics and insurance information

  • Support pre-authorization processes as needed

  • Document patient interactions accurately in the EMR

  • Collaboration & Admin Support

  • Coordinate with onsite/admin staff for any tasks requiring physical presence

  • Relay messages to the appropriate staff members promptly

  • Maintain confidentiality and comply with HIPAA guidelines


Qualifications:

  • At least 3 years of experience in customer service, preferably in a medical /healthcare setting.

  • Experience in dermatology or specialty practices is a plus.

  • Hands-on experience with EMR systems (Athena experience is a plus).

  • Familiarity with phone systems/softphones (Weave experience is a plus).

  • Strong organizational skills and ability to manage multiple tasks simultaneously.

  • Excellent verbal and written communication skills.

  • Knowledge of insurance verification and pre-authorization processes.



Schedule: GY shift / 8:30 AM to 5:30 PM EST

Setup: Remote / WFH
