A leading international law firm is looking for an Information Governance Analyst to join its Hong Kong office, supporting information governance, records management and data protection activity across the region. You will report to the firm's Information Governance Manager for Asia within a compact, hands-on regional team, working day to day with information security and IT colleagues, lawyers, paralegals and administrative staff, as well as records and governance colleagues worldwide on firmwide projects. This is a full-time, office-based role with genuine ownership of processes from the outset, and the chance to help shape how a modern, digital-first records programme operates in one of the firm's most dynamic regions.
WHAT
You will support the region's information governance programme end to end. That means assisting the firm's in-house legal department with document holds, preservation orders and the identification and collection of potentially responsive emails and electronic documents; processing electronic records arriving with lateral hires or transferred matters; and administering the collection, review and release of records in response to client file requests, proactively suggesting improvements along the way. You will guide practice groups and administrative departments on electronic records management and the firm's records policy, oversee and report on the disposition of hardcopy records, and execute disposition of electronic records — including court-ordered destruction — under firm retention policies. Beyond the day to day, you will identify electronic records risks and help build mitigation plans, support migrations from shared drives to archival storage, act as a bridge between lawyers and IT on how records are organised, accessed, retained and disposed of, run records onboarding sessions for new lawyers, and produce periodic and ad hoc reports on the health of the programme while keeping abreast of industry developments and emerging tools.
YOU
You will bring a bachelor's degree in a related field, or at least three years' experience in records management, information governance or IT gained in a professional services environment. Hands-on use of Microsoft Purview or a similar e-discovery platform is essential, as are advanced Outlook skills (including .PST creation and review) and familiarity with document management systems such as iManage or NetDocuments. You will understand data storage, migration and conversion techniques, records preservation practice and the document lifecycle in both hardcopy and electronic form, and be comfortable with Windows and core network functions. Strong oral and written communication — including the ability to present clearly — careful judgement, discretion and the temperament to juggle competing deadlines all matter here. Experience with ethical wall applications such as Intapp Walls, familiarity with AI governance and information protection for AI-enabled tools, an IGP certification and knowledge of Hong Kong and APAC data privacy requirements would each be a welcome advantage.
