Progress & Reporting Coordinator
JOB PURPOSE
The Progress & Reporting Coordinator is responsible for coordinating project progress, readiness, reporting and performance visibility across multi-disciplinary workstreams to support timely execution of project objectives within EGA operational requirements.
The job holder provides integrated coordination across planning, materials, equipment, contractors and stakeholders. The role develops and maintains reliable progress monitoring tools, dashboards and executive reports to enable timely issue resolution, action tracking and management decision-making.
The role acts as a key coordination point for the Al Azm Control Tower / project controls environment, ensuring data accuracy, reporting discipline and cross-functional alignment across daily and weekly execution governance.
3. KEY ACCOUNTABILITIES
Project Progress & Work Sequencing
- Coordinate multi-disciplinary work sequencing across project, operations, maintenance, supply chain, contractor and support teams to ensure execution priorities are aligned with approved plans.
- Track planned versus actual progress and highlight variances, constraints and recovery actions to support schedule adherence and timely delivery.
- Support the development and maintenance of integrated execution plans by consolidating workstream inputs and ensuring dependencies are visible and actioned.
Interface & Cross-functional Coordination
- Manage interfaces between internal stakeholders, contractors and support functions to ensure work packages, access requirements, prerequisite activities and dependencies are coordinated effectively.
- Facilitate issue resolution between workstreams by clarifying ownership, following up actions and escalating unresolved matters to management as required.
- Coordinate daily and weekly review meetings, document key decisions, maintain action logs and ensure timely closure of agreed actions.
Material, Equipment & Resource Readiness
- Monitor material readiness status for planned work activities and coordinate with supply chain, stores, end users and project teams to identify shortages or delivery risks.
- Track equipment, tools, access and manpower readiness requirements to confirm that prerequisites are available before work execution.
- Maintain readiness dashboards and risk registers to support proactive escalation and management intervention for critical path constraints.
Contractor & Stakeholder Management
- Coordinate contractor progress updates, mobilisation readiness, productivity inputs and performance data to support effective contractor management.
- Consolidate contractor performance information including progress, manpower, constraints and action status for review by management.
- Maintain collaborative working relationships with stakeholders to promote alignment, accountability and timely communication across the project environment.
Progress Reporting, KPI Management & Executive Reporting
- Prepare daily, weekly and monthly progress reports covering schedule performance, readiness status, contractor performance, material and equipment constraints, risk areas and recovery actions.
- Develop and maintain KPI reporting structures that provide clear visibility of project performance, key risks and management actions.
- Prepare concise executive-level updates and dashboards to support senior management reviews, decision-making and escalation of critical issues.
Data, Analytics & Automation
- Develop and maintain advanced Excel-based trackers and dashboards using Power Query, Pivot Tables, dynamic dashboards to improve accuracy and reporting efficiency.
- Develop and maintain Power BI dashboards, data models and analytical views to provide integrated visibility of progress, readiness and performance indicators.
- Perform trend analysis, forecasting and data validation to identify emerging risks, data gaps and improvement opportunities in project reporting processes.
Governance, Data Discipline & Continuous Improvement
- Ensure reporting data is validated, updated on time and aligned with agreed governance routines to maintain accuracy and credibility of management information.
- Promote data update discipline amongst stakeholders and highlight incomplete or inaccurate inputs that may affect reporting quality.
- Support continuous improvement initiatives to standardise reporting, automate repetitive work and enhance visibility of project controls information.
EHS, Policies & EGA Values
- Comply with EGA policies, procedures, EHS requirements and governance standards while supporting project execution activities.
- Demonstrate EGA values through collaboration, accountability, safe working practices and disciplined follow-up of commitments.
- Validate progress, readiness and KPI data before inclusion in management reports and dashboards.
- Recommend corrective / recovery actions for schedule slippages, readiness gaps and contractor performance issues within the agreed governance framework.
- Escalate critical risks, unresolved constraints, data quality issues and delayed actions to the Senior Manager - Planning for management intervention.
- Coordinate meeting priorities, reporting cycles and action follow-up with stakeholders in line with approved project controls requirements.
- The job holder shall follow delegated authority levels and EGA procedures applicable to the role.

Minimum Qualifications
Bachelor's degree in Engineering, Project Management, Business Administration, Data Analytics or a related discipline. Equivalent relevant experience may be considered in line with EGA Human Capital evaluation.
Minimum Experience
5-8 years of experience in project coordination, planning, progress reporting, project controls, operational coordination or industrial execution environments.
Operational Coordination Skills
Multi-disciplinary work sequencing; interface management; contractor management; material readiness planning; equipment readiness planning; stakeholder management; cross-functional coordination; facilitation of daily / weekly review meetings; decision-making under pressure; executive reporting.
Data & Analytics Skills
