Role Purpose
The HR Assistant provides administrative and operational support to the Human Resources department, ensuring effective delivery of HR services across the mine. The role supports recruitment, employee records, payroll inputs, training administration, and compliance with labour legislation and company policies, contributing to a stable and productive workforce.
Key Responsibilities
HR Administration & Records
- Maintain accurate and up‑to‑date employee files and HR records (physical and electronic).
- Capture and update employee data on HR and payroll systems.
- Administer contracts of employment, letters, and HR documentation.
- Ensure confidentiality and compliance with information‑management standards.
Recruitment & Onboarding Support
- Assist with recruitment administration (advertisements, interview scheduling, reference checks).
- Coordinate pre‑employment requirements (medical exams, inductions, documentation).
- Support onboarding of new employees and contractors.
- Maintain recruitment trackers and reports.
Payroll & Timekeeping Support
- Capture and verify payroll inputs (overtime, leave, allowances, shift data).
- Support time and attendance administration.
- Liaise with payroll and finance teams to resolve queries.
- Assist with payroll audits and reconciliations.
Training & Development Administration
- Support training logistics including bookings, attendance registers, and records.
- Maintain training and competency records in line with statutory and site requirements.
- Assist with reporting on training compliance and skills development.
- Coordinate inductions, refresher training, and skills programmes.
Employee Relations Support
- Assist with administration of disciplinary and grievance processes.
- Prepare documentation for hearings and meetings.
- Maintain records of employee relations cases.
- Support compliance with fair labour practices under applicable legislation.
Compliance & HR Reporting
- Support compliance with labour legislation, mine regulations, and company HR policies.
- Assist with preparation of HR reports (headcount, absenteeism, turnover).
- Support internal and external audits.
- Ensure filing and documentation meet legal and governance requirements.
General HR Support
- Provide first‑line HR assistance and guidance to employees.
- Respond to routine HR queries or escalate when required.
- Support wellness, engagement, and communication initiatives.
- Assist HR team with ad‑hoc projects and initiatives.
Qualifications & Experience
- Diploma or Certificate in Human Resources Management, Administration, or related field.
- 2–4 years' experience in HR administration, preferably in mining, construction, or heavy industry.
- Basic understanding of labour legislation and HR processes.
- Computer literacy (HR systems, payroll, MS Office).
Desirable
- Experience in zinc or base‑metal mining operations.
- Exposure to payroll systems and time & attendance systems.
- Experience working in a unionised environment.
