The Administrative Assistant is the operational backbone of our landscaping and maintenance company, ensuring seamless communication and order management. This role is pivotal in maintaining the company's efficiency by processing requests, coordinating job, logistics, and fostering relationships with clients and vendors. The Administrative Assistant upholds our commitment to timely, high-quality service delivery through meticulous organization and proactive problem-solving.

Roles & Responsibilities:
Communication & Request Management: Efficiently process and route incoming emails, texts, voicemails, and social media messages, ensuring issues are resolved and escalated appropriately. Maintain up-to-date work order notes and ensure all communications are responded to promptly.
Recruitment & Vendor Coordination: Post job ads, conduct initial screenings, and schedule interviews with potential candidates and vendors. Negotiate pricing and manage vendor relationships to ensure the best rates and service quality.
Order Processing & Management: Handle incoming orders, from creation to closure, ensuring all details are accurately logged in the project management system. For accurate profitability analysis, oversee supply ordering, track job charges, and assign costs to the correct accounts.
Client & Vendor Satisfaction: Provide exceptional service by swiftly responding to client and vendor inquiries to resolve questions within an hour. Ensure client feedback is collected and satisfaction is maintained through completion surveys.
Administrative Support & Reporting: Assist in various administrative tasks, including tracking AR, maintaining supply inventory, and completing work orders on time. Contribute to the preparation of reports on operational efficiency and client satisfaction.

-Minimum 2 yrs experience working for clients in the US
