The Academic Support Specialist will play a vital role in ensuring the smooth operation of academic activities by providing both direct and indirect support to students, faculty, and departmental leadership. The successful candidate will assist in coordinating academic processes, managing course-related administrative tasks, and enhancing the overall educational experience for students.

Key Responsibilities:

1. Academic Support for the Department:

  • Coordinate and prepare class schedules and classroom bookings in collaboration with relevant departments.
  • Assist in the planning, coordination, and supervision of examinations and assessments .
  • Organize and manage course materials on the e-learning platform , ensuring accessibility and accuracy.

2. Facilitation of Administrative Processes:

  • Support the department head in organizing and managing day-to-day academic operations .
  • Follow up on student academic inquiries and requests , ensuring timely resolution and proper referrals.
  • Maintain accurate and updated records, documents, and files related to curricula, courses, and student data.

3. Support for Faculty Members:

  • Provide logistical and administrative support for courses and academic events managed by the department.
  • Coordinate and document academic meetings , including preparing agendas, taking minutes, and drafting reports.

4. Communication and Coordination:

  • Serve as a liaison between departments to ensure smooth academic and administrative workflows .
  • Respond promptly and professionally to inquiries from students, faculty, and staff .
  • Facilitate communication and collaboration between students and relevant university services (e.g., registration, advising, IT).

Qualifications and Requirements:

Education:

  • Bachelors degree in Education, Educational Administration, Business Administration , or a related field .
  • Professional certifications in academic administration, project management, or e-learning tools are preferred.

Experience:

  • Minimum of two (2) years of experience in academic support, educational administration , or a similar role within a higher education institution.

Skills and Competencies:

  • Excellent verbal and written communication skills in both Arabic and English .
  • Strong organizational and time-management abilities .
  • Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with learning management systems (LMS) and academic software platforms.
  • Ability to work effectively in a team-oriented, fast-paced academic environment .
