General Function and Primary Objective(s):

Under the direction of the Account Manager, support and assist Account Manager(s) in serving the company's customers, collaborating with internal and external resources. Work closely with Account Manager(s) and Sales Operations to carry out tasks that facilitate workflows. Assist Account Manager(s) in PO management & billing support. Build reports and dashboards to keep internal stakeholders informed of account operating status and health. This role serves to keep account workflows organized, documentation up to date, and communication flowing smoothly.

Essential Duties and Responsibilities:

Account Coordination & Support

  • Assist Account Managers with daily administrative tasks, scheduling, and follow-ups.
  • Assist and prepare client reports, quotes, and renewal documents.
  • Maintain accurate client records, contract details, and account activity logs in Zoho/CRM and internal systems.
  • Maintain organized digital filing systems, shared folders, and account documentation.
  • Track deadlines, deliverables, and action items to ensure all account commitments are met.
  • Serve as a point of contact for routine client inquiries, routing issues to the appropriate team members.
  • Coordinate internal communication between sales, operations, finance, and customer support to ensure client needs are addressed.
  • Support the creation and distribution of dashboards or monthly/quarterly business reviews (MBRs/QBRs).
  • Provide back-up as needed for Account Manager.

Customer Quotes, PO Management & Billing Support

  • Create Customer Quotes in internal system.
  • Manage Customer POs (Purchase Order).
    • Review PO upon receipt for accuracy, address any PO issues, confirm PO receipt via email to customers, and notify Finance.
    • Ensure all Customer POs required for billing have sufficient funds.
    • Follow up on obtaining POs as needed to prevent billing delays.
    • Maintain Customer PO Trackers (include reconciliation and issue resolution with the customer).
    • Ensure Customer Quotes & POs are uploaded to Customer Folders on the shared drive.
  • Support Account Manager with revenue reporting for customer billing.
  • Support Account Manager and Accounting Team on invoice inquiries & resolving billing issues.

Data Management & Reporting

  • Extract data from internal systems to support account reviews, analytics, and performance summaries.
  • Maintain New Customer Project Setup Tracker.
  • Maintain Onboarding & Offboarding Tracker.
  • Maintain Customer Master Pricing List.
  • Maintain Monthly Contractor Report, Accrual Report and Expense Report per customer request.
  • Support Account Manager with monthly revenue reporting and flux reporting.
  • Monitor SOW Expire Tracker to support Account manager with SOW renewals.
  • Support the creation and distribution of dashboards or monthly/quarterly business reviews (MRBs/QBRs).

Requirements:

  • Bachelor's degree.
  • 1–3 years of experience in customer service or account coordination.

Knowledge, Skills, and Abilities:

  • Strong Microsoft Office skills, especially Excel, PowerPoint, Word, and Outlook.
  • Excellent interpersonal and problem-solving skills.
  • Must be detail oriented and possess a proactive work and communication style.
  • Demonstrated ability to communicate effectively both verbally and in writing throughout all levels of an organization, both internally and externally.
  • Works collaboratively in a team environment.
  • Strong organizational skills and demonstrated ability to multi-task in a fast-paced environment.
  • Ability to deliver high-quality work within tight timelines.

Preferred Qualifications:

  • Experience in customer PO management and customer relationship management.
  • Knowledge of Zoho, Elapseit, Microsoft suite.
  • Experience with electronics hardware manufacturing or staffing.
