The successful hire will perform semi-complex administrative support work, that involves disseminating information, and maintaining electronic filing systems. He/she will also perform administrative support work under general supervision with moderate ability to initiate and maintain independent judgment.
Job Responsibilities:
- Coordinate with agency sellers, sales and operations teams, and external vendors to support the transition of vendor contracts and relationships
- Ensure licenses for legacy agency management systems and rating tools are properly reduced following integration
- Support due diligence activities for upcoming transactions by assisting with documentation and related tasks
- Work closely with IT teams to facilitate the transfer of phone, email, and network access
- Maintain and update contact lists and administrative records
- Prepare and assist with regularly scheduled reports and research requests
- Manage and organize electronic filing systems to ensure easy access to information
- Provide administrative support to Specialty Teams as needed
- Respond to inquiries, provide requested information, and generate reports as required
- Handle multiple projects simultaneously while meeting deadlines
- Perform general administrative duties, including filing, correspondence, and handling general inquiries
- Manage sensitive and confidential information with professionalism and discretion
- Improve and maintain administrative systems to enhance efficiency and organization
- Retrieve information from records, emails, and other documentation, and prepare written summaries when needed
- Address and resolve administrative questions and requests
- Perform additional administrative tasks as assigned to support team objectives
Job Qualifications:
- Minimum of 3 years of experience in an administrative or assistant role
- Advanced proficiency in Microsoft Office 365, particularly Excel
- Strong understanding of office management systems and administrative procedures
- Excellent time management skills with the ability to multitask and prioritize effectively
- High attention to detail with strong problem-solving capabilities
- Excellent written and verbal communication skills
- Strong organizational, planning, and coordination abilities
- High school diploma or equivalent required; college degree preferred
- Proven ability to work collaboratively as part of a team
