As a Recruitment Operations Coordinator, you support the day-to-day execution of staffing and recruitment efforts by coordinating candidate outreach, scheduling, onboarding, and documentation. You ensure smooth, timely processes and maintain accurate records in a fast-paced, high-volume environment, playing a key role in delivering an exceptional experience for both clients and candidates.

This is a full-time role, on a US shift and on an Onsite set-up.

DUTIES AND RESPONSIBILITIES:

Talent Recruitment

  • Coordinate job postings across platforms and social channels in alignment with hiring needs.

  • Schedule interviews on behalf of Talent Managers and ensure candidates are properly prepped.

  • Maintain timely and accurate records in the Applicant Tracking System (ATS).

  • Support in-person casting efforts, including scheduling talent, preparing materials, and post-casting notes.

  • Assist with sourcing talent for niche roles or last-minute needs using approved platforms and agency databases.

Talent Operations

  • Assist with onboarding and orientation logistics for new talent.

  • Coordinate communications for the talent pool, including scheduling updates, reminders, and policy rollouts.

  • Create and manage up-to-date talent lookbooks for client submission.

  • Help organize orientation and training by assisting with sign-ups, materials, and attendance tracking.

  • Conduct daily tracking of field staff time & attendance data and flag discrepancies or performance concerns to Talent Managers.

  • Take post-event performance feedback and assist in logging information.

Administrative Support

  • Aid with collecting receipts and expenses tied to talent travel, wardrobe, or training sessions.

  • Maintain organized documentation for compliance, event feedback, and talent progression.

  • Collect and compile post-event images for use on social channels and weekly meetings.

  • Assist with department-wide initiatives and special projects across staffing, training, and communications.


QUALIFICATIONS:

  • 5+ years of professional experience in full-cycle staffing and recruitment for permanent and/or temporary roles.

  • Proven Leadership Experience: Demonstrated experience leading teams, particularly in staffing, recruitment, hospitality, fashion & retail, and event settings.

  • Innovative Recruitment Strategies: Expertise in developing and implementing innovative staffing strategies to attract top talent.

  • Financial Acumen: Understanding of budgeting and cost management in relation to staffing and events.

  • Cultural Competency: Ability to work effectively in a diverse environment, understanding the nuances of different cultures and backgrounds.

  • Tech-Savvy: Familiarity with Hubspot CRM and Marketing Hub, applicant tracking systems, Slack, Calendly, Canva, and Google Workspace.
