AI Automation Specialist

Role Overview

The AI Automation Specialist is responsible for designing, building, and maintaining automation solutions that improve operational efficiency across the organization. This role works closely with internal stakeholders to gather requirements, map business processes, and implement scalable automation using APIs, scripting, and no-code/low-code platforms.

The position is hands-on and execution-focused, with no product management ownership.

Key Responsibilities

Automation & Technical Execution

  • Design and implement automation workflows to support Sales, Customer Support, Accounting, and Operations.

  • Build and maintain integrations across internal systems and third-party SaaS platforms using APIs, webhooks, and event-driven triggers.

  • Develop scripts and automation logic using JavaScript to support complex workflows.

  • Utilize and manage no-code/low-code and RPA tools such as Airtable, Zapier, Make, n8n, and related automation platforms.

  • Monitor, troubleshoot, and optimize automation flows to ensure reliability and scalability.

Requirement Gathering & Process Mapping

  • Collaborate with internal teams to collect and clarify automation requirements.

  • Analyze and document current (as-is) and future (to-be) business processes.

  • Translate operational needs into clear technical solutions and automation designs.

Documentation & Stakeholder Management

  • Produce clear technical documentation, including workflow logic, API usage, and system dependencies.

  • Communicate effectively with non-technical stakeholders to align expectations and ensure adoption.

  • Support internal users during rollout and post-implementation phases.

Required Qualifications

  • Proven experience in automation, system integration, or AI/Workflow automation roles.

  • Strong understanding of APIs, webhooks, and integration patterns.

  • Hands-on scripting experience with JavaScript.

  • Practical experience with no-code/low-code and automation tools such as Airtable, Zapier, Make, n8n, or RPA platforms.

  • Strong stakeholder management, process mapping, and analytical skills.

  • Ability to write structured and understandable technical documentation.

Preferred Qualifications

  • Experience working in startups, real estate, or operations-heavy environments.

  • Familiarity with AI-enabled automation tools and intelligent workflows.
