We are hiring an Executive Assistant to Director for one of Indonesia's leading state-owned agrochemical and integrated chemical manufacturing companies.

Established for more than 50 years, the company plays a strategic role in supporting national food security and industrial growth through large-scale fertilizer and chemical production operations. With integrated manufacturing facilities, extensive business operations, and dynamic corporate activities, the company is seeking a highly organized, proactive, and professional individual to support top management in both administrative and operational functions.

Responsibilities

  1. Manage and organize the Directors' schedules, including meetings, business trips, and other agendas
  2. Handle the Directors' administrative needs effectively and systematically
  3. Manage incoming and outgoing correspondence for the Directors, including checking, distributing, and following up on letter dispositions
  4. Prepare documents, reports, presentation materials, and meeting requirements for the Directors
  5. Act as a liaison and communication coordinator between the Directors and both internal and external parties
  6. Arrange the Directors' business travel, including tickets, accommodation, transportation, and travel itineraries
  7. Maintain the confidentiality of the Directors' documents, information, and activities
  8. Monitor work schedules, deadlines, and priority tasks related to the Directors' activities
  9. Organize and maintain the Directors' documents and archives in a neat, systematic, and accessible manner
  10. Handle communication via email, telephone, and other communication channels professionally
  11. Support cross-functional coordination according to the Directors' instructions
  12. Carry out administrative and operational tasks assigned by the Directors in accordance with company needs
  13. Provide administrative support and coordination related to the Directors' personal support needs that contribute to the smooth execution of their duties and activities in a professional and appropriate manner

Qualifications

  • Minimum education of Diploma (D3) or Bachelor's Degree (S1) from any major
  • Well-groomed with a professional appearance
  • Minimum 3 years of experience as a Board Secretary, Executive Secretary, or Personal Assistant
  • Strong communication skills, both verbal and written
  • Proficient in spoken and written English
  • Highly proactive, self-motivated, and able to work independently
  • Detail-oriented and meticulous in reviewing incoming and outgoing letters, documents, and correspondence
  • Possesses empathy, good ethics, and the ability to build professional and comfortable working relationships
  • Capable of managing schedules, meeting agendas, business trips, and Directors' administrative needs in a detailed and organized manner
  • Strong interpersonal skills with the ability to coordinate effectively with internal and external parties
  • Able to multitask, disciplined, and capable of working under pressure
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and other administrative support applications
  • Demonstrates good work ethics, self-care, and professionalism
  • Willing to work with high mobility and flexible working hours according to the Directors' needs
