The Project Administrator supports shipyard project operations by managing documentation, coordinating with site teams, and ensuring smooth administrative and logistical execution of assigned projects. This role plays a critical part in maintaining accurate records, supporting project schedules, and facilitating communication between project managers, engineers, subcontractors, and safety teams.
- Key Responsibilities
- Manage and maintain all project documentation, including contracts, drawings, permits, method statements, inspection records, and correspondence, ensuring proper filing and version control.
- Coordinate closely with site teams, project managers, engineers, and subcontractors to support daily project activities and administrative requirements.
- Prepare and update daily progress reports, manpower deployment records, work schedules, and site logs, ensuring timely submission to management and clients.
- Arrange and track manpower deployment, including attendance, overtime records, access passes, and coordination with HR or subcontractors where required.
- Support safety and compliance processes by assisting in the preparation and submission of safety documents such as risk assessments, method statements, toolbox meeting records, and permit-to-work applications.
- Assist the project team in scheduling activities, monitoring timelines, and highlighting potential delays or administrative gaps that may affect project delivery.
- Coordinate logistics arrangements, including material deliveries, equipment mobilization, site access, and liaising with vendors and suppliers to ensure timely support for site operations.
- Handle general project administration tasks such as meeting coordination, minutes of meetings, progress tracking, and internal reporting.
- Ensure compliance with shipyard regulations, company procedures, and client requirements in all documentation and administrative processes.
- Provide ad-hoc administrative support to the project team as required to ensure smooth project execution.
