Job Overview:
We are looking for an Executive Secretary to support the Assistant Managing Director in daily administrative and secretarial tasks. You will help ensure smooth coordination between departments and assist in managing important documents and meetings.
Job Responsibilities:
- Provide full secretarial and administrative support to the Assistant Managing Director
- Manage daily schedule, meetings, and appointments
- Prepare meeting agendas, take notes, and write meeting minutes
- Handle document review, summary, and translation (English, BM, Mandarin)
- Follow up with Production and Design teams on assigned tasks
- Ensure all instructions from management are properly carried out
- Maintain proper filing and confidential records
- Assist in other ad-hoc administrative tasks when needed
Job Requirements:
- Able to speak and write in English, Bahasa Malaysia, and Mandarin (must be Mandarin literate)
- Able to adapt to a manufacturing environment and structured working culture
- Proficient in Microsoft Office (Word, Excel, PowerPoint)
- Organized, responsible, and able to handle multiple tasks
- Trustworthy and able to handle confidential information carefully
