About the job Executive - EC Office
Our leading client in the public sector is seeking an Executive – EC Office to provide high-level administrative and executive support to the Vice President and Executive Chairman's Office, ensuring effective coordination, communication, governance, and operational efficiency across executive engagements.
Executive & Administrative Support
- Maintain organized filing systems (electronic and physical) for executive records, agreements, reports, and official communications.
- Track action items, decisions, and follow-ups arising from executive meetings and ensure timely closure in coordination with relevant stakeholders.
Coordination & Liaison
- Act as a key coordination point between the Vice President, Executive Chairman's Office, internal departments, government entities, and external partners.
- Coordinate internal workflows related to partnership engagements, executive requests, and escalations, ensuring alignment with policies and timelines.
- Support cross-functional coordination for initiatives, events, and official engagements led by the Vice President.
Meetings, Protocol & Engagement Support
- Coordinate logistics for executive meetings, committees, and official engagements, including venue arrangements, attendance confirmations, and documentation.
- Support protocol and etiquette requirements for high-level meetings, VIP visits, and official events in collaboration with relevant units.
- Assist in preparing briefing notes, presentations, and reports for executive and stakeholder meetings.
Reporting & Documentation
- Support the preparation, consolidation, and formatting of executive reports, presentations, dashboards, and correspondence.
- Ensure reports are prepared accurately, submitted on time, and aligned with organizational standards and branding.
- Maintain trackers for KPIs, partnerships documentation, and executive requests as directed.
Office Operations & Governance
- Support day-to-day operations of the Executive Chairman's Office, ensuring administrative processes run efficiently
- Ensure compliance with internal policies, procedures, and approval workflows.
- Handle sensitive information with the highest level of discretion and confidentiality.
Continuous Improvement
- Identify opportunities to improve administrative processes, coordination mechanisms, and documentation practices within the Executive Chairman's Office.
- Support the implementation of best practices in executive office administration and governance.
Requirements:
• Bachelor's degree in Business Administration, Management, or a related field.
• Fresh graduates or candidates with 1–2 years of relevant experience in administrative support, coordination, or executive office functions.
• Strong organizational, coordination, reporting, and follow-up skills.
• Excellent English communication and interpersonal skills.
• Professional, polished, highly organized, and detail-oriented.
• Able to handle confidential and sensitive information with discretion.
