About the Role

Our client is looking for a highly organized, proactive, and detail-oriented Chief of Staff / Executive Assistant to serve as the co-founder's right hand. This person will bring structure to a fast-moving schedule, anticipate needs, capture important details, and ensure that priorities consistently move forward.

The right candidate should be able to listen carefully, grasp ideas quickly, turn brief conversations into clear action items, and move work forward independently. You will need excellent judgment, a strong sense of urgency, and the confidence to follow up persistently when decisions or information are required.

This is more than a traditional Executive Assistant position. You will act as an extension of the co-founder—protecting his time, creating structure, coordinating priorities, and ensuring that important details do not fall through the cracks.

Key Responsibilities

    • Manage and organize the co-founder's inbox, including prioritizing messages, drafting responses, flagging urgent matters, and ensuring timely follow-up.
    • Manage the co-founder's Monday.com workspace, keeping tasks, owners, deadlines, updates, and priorities accurate and current.
    • Translate quick conversations, voice notes, and high-level ideas into organized action plans and clearly assigned next steps.
    • Maintain a reliable system for tracking commitments, decisions, deadlines, and follow-ups.
    • Manage the co-founder's calendar, meetings, appointments, and changing priorities.
    • Prepare agendas, briefing notes, meeting materials, and follow-up summaries.
    • Attend selected meetings, take detailed notes, identify decisions and action items, and ensure accountability afterward.
    • Follow up with internal team members, clients, partners, and other stakeholders on the co-founder's behalf.
    • Design, document, and improve internal processes and standard operating procedures.
    • Coordinate projects across teams and proactively identify delays, gaps, or dependencies.
    • Help prioritize competing requests so the co-founder can remain focused on the company's most important objectives.
    • Handle sensitive and confidential information with discretion.
    • Support travel planning, expenses, document preparation, research, and other typical executive-assistance responsibilities.
    • Take ownership of special projects and operational tasks as the company grows.

    Skills & Qualifications

      • 6+ years of relevant experience as an Executive Assistant, Chief of Staff, Operations Coordinator, Project Coordinator, or in a similar role.
      • Excellent spoken and written English, with the ability to communicate clearly and professionally with internal and external stakeholders.
      • Experience using Monday.com and modern workplace tools such as Google Workspace, and project-management platforms.
      • Exceptional attention to detail and a natural ability to catch missing information, inconsistencies, and overlooked follow-ups.
      • A quick learner who can understand fast-paced conversations, connect the dots, and take effective action with limited direction.
      • Highly proactive, resourceful, and comfortable anticipating needs rather than waiting to be asked.
      • A strong sense of urgency and the ability to distinguish between what is important and what is truly time-sensitive.
      • Excellent organizational, prioritization, and time-management skills.
      • Confidence working independently and making sound decisions when the co-founder is unavailable.
      • Comfort working in a startup environment where responsibilities may evolve and priorities may change quickly.
      • High emotional intelligence, discretion, adaptability, and professional maturity.
      • Create clarity and structure without needing constant oversight.
      • Remember details, close loops, and prevent important tasks from being forgotten.
      • Can keep pace with a founder who thinks and communicates quickly.
      • Stay calm, organized, and solutions-focused when priorities shift.
      • Know when to act independently and when to escalate.
      • Communicate concisely and confidently.
      • Treat the company's priorities with a strong sense of ownership.
      • Enjoy being the dependable person behind the scenes who makes everything run more smoothly.
      • Flexibility is highly preferred, as working hours may vary depending on the Co-Founder's calendar.

      Employment Structure

      • Hybrid in Dhaka, Bangladesh | Full-time
      • Salary: BDT 150,000 -180,000 
      • Benefits: Bangladeshi & North American government holidays + Year-end 1-week break + Bi-annual festival bonuses + Annual salary review + Paid casual & sick leave + Friendly office culture
      • Work Week: Monday-Friday, 5:00 pm - 2:00 am.With occasional on-site attendance (approximately once a week) during regular daytime office hours.
