About the job Document Controller
Job Purpose
To effectively control, manage, and maintain all organizational and project documents in a secure, accurate, and well-structured manner, ensuring proper document flow, version control, traceability, and full compliance with company procedures and regulatory requirements.
Duties & RESPONSIBILITIES
Functional Responsibilities

- Maintain and control all documents in accordance with company procedures and document control standards.
- Review documents to ensure completeness, accuracy, and proper authorization prior to submission or distribution.
- Manage the issuance, distribution, tracking, and retrieval of documents across all departments.
- Ensure proper document registration, classification, and filing (both electronic and hard copy).
- Implement and maintain effective version control to ensure document accuracy and accessibility.
- Coordinate with internal stakeholders to ensure proper document flow and compliance with procedures.
- Ensure all documents are reviewed, approved, and updated in a timely manner.
- Maintain document registers, logs, and tracking systems to monitor document status, revisions, and history.
- Support internal and external audits by providing required documentation and ensuring records are complete and up to date.
- Control access to documents, ensuring confidentiality, integrity, and data protection.
- Ensure timely updating, archiving, and disposal of documents in line with document retention policies.
- Support the implementation, standardization, and continuous improvement of document control processes and systems.
JOB REQUIREMENTS
Education
Bachelor's degree in Business Administration, Information Management, or any related field
Experience
3+ years of experience in document control
Languages
Fluent in English (Written & Spoken)
Required Competencies
Technical Skills
- Good knowledge of document control processes and systems
- Familiarity with Document Management Systems (DMS) and ERP systems
- Understanding of quality standards and documentation requirements
- Proficiency in Microsoft Office (especially Excel and Word)
Soft Skills
- Strong organizational and filing skills
- High attention to detail and accuracy
- Ability to manage multiple documents and deadlines
- Good communication and coordination skills
