Job Purpose

To effectively control, manage, and maintain all organizational and project documents in a secure, accurate, and well-structured manner, ensuring proper document flow, version control, traceability, and full compliance with company procedures and regulatory requirements.

Duties & RESPONSIBILITIES

Functional Responsibilities

  2. Maintain and control all documents in accordance with company procedures and document control standards.
  3. Review documents to ensure completeness, accuracy, and proper authorization prior to submission or distribution.
  4. Manage the issuance, distribution, tracking, and retrieval of documents across all departments.
  5. Ensure proper document registration, classification, and filing (both electronic and hard copy).
  6. Implement and maintain effective version control to ensure document accuracy and accessibility.
  7. Coordinate with internal stakeholders to ensure proper document flow and compliance with procedures.
  8. Ensure all documents are reviewed, approved, and updated in a timely manner.
  9. Maintain document registers, logs, and tracking systems to monitor document status, revisions, and history.
  10. Support internal and external audits by providing required documentation and ensuring records are complete and up to date.
  11. Control access to documents, ensuring confidentiality, integrity, and data protection.
  12. Ensure timely updating, archiving, and disposal of documents in line with document retention policies.
  1. Support the implementation, standardization, and continuous improvement of document control processes and systems.

JOB REQUIREMENTS

Education
Bachelor's degree in Business Administration, Information Management, or any related field

Experience
3+ years of experience in document control

Languages
Fluent in English (Written & Spoken)

Required Competencies

Technical Skills

  • Good knowledge of document control processes and systems
  • Familiarity with Document Management Systems (DMS) and ERP systems
  • Understanding of quality standards and documentation requirements
  • Proficiency in Microsoft Office (especially Excel and Word)

Soft Skills

  • Strong organizational and filing skills
  • High attention to detail and accuracy
  • Ability to manage multiple documents and deadlines
  • Good communication and coordination skills
