The Opportunity
- You'll partner closely with our clinical team to understand real-world workflows and eliminate manual, error-prone steps.
- You will design, ship, and maintain pragmatic automations using the best tool for the job RPA, scripts, APIs, or lightweight AI assistants while treating reliability, security, and ROI as first-class concerns.
- Excellent communication is essential: you'll interview stakeholders, map processes, translate needs into technical specs, and train teammates to self serve safely.
What you'll do
- Map pain points: Interview clinical and ops stakeholders to identify high impact, automatable workflows; create simple process maps.
- Ship automations fast: Build, test, and deploy automations using your preferred stack (RPA, Python/JavaScript scripts, API integrations).
- Integrate tools: Connect and orchestrate workflows across Airtable, Jira, OpenPhone, and email (IMAP/SMTP), using APIs and webhooks where available.
- AI enablement (tool agnostic): Apply LLMs and AI utilities where appropriate (summarization, routing, classification, doc parsing), with guardrails and redaction to protect PHI/PII.
- Monitor & iterate: Add logging, alerting, retries/idempotency, and basic SLOs; refine flows using usage data and stakeholder feedback.
- Document & train: Create concise SOPs and short walkthroughs so nontechnical teammates can safely self serve.
- Track ROI: Quantify hours saved, cycle time reductions, error rate improvements, and value delivered for each automation.
- Security & compliance: Use least privilege access, secret management, and auditability; align with HIPAA/SOC 2 practices.
Systems you'll work with
- Airtable (operations data, case tracking)
- Jira (tickets, escalations, oncall workflows)
- OpenPhone (call/voicemail events, routing, summaries)
Email (triage, routing, auto responses, ticket creation)
Must-have qualifications
- Proven experience building workflow automations using a mix of RPA, scripts, and API/webhook integrations.
- Proficiency in Python and/or JavaScript for custom nodes, API wrappers, and data transformations.
- Solid grasp of REST APIs, OAuth, webhooks, and email protocols (IMAP/SMTP); comfort handling pagination and rate limits.
- Excellent communication: can interview users, clarify requirements, and write clear SOPs/technical specs.
- Tool agnostic mindset: capable with options like UiPath/Power Automate/Make/Zapier/n8n or custom code choose what fits the problem.
- Ownership bias: able to scope, deliver, monitor, and iterate quickly with stakeholders.
- Familiarity with vector databases and LLM orchestration frameworks (LangChain/LlamaIndex); retrieval augmented generation.
- Web automation skills (Playwright/Selenium) where no API exists.
- Event driven patterns and simple job queues.
Nice to have
- Healthcare integrations (FHIR/HL7, EHR/EMR) or prior PHI safe data handling.
- UpToDate awareness of the AI/automation ecosystem; ability to evaluate and adopt emerging tools (OpenAI, Azure OpenAI, Anthropic, Google, opensource models via Ollama/vLLM, etc.).
Expected KPIs / first 90 days
- Manual hours eliminated: 150+ (aggregate across clinical workflows)
- High impact automations shipped: 3 in production
- Internal NPS (automation satisfaction): 8/10 from stakeholders
- Playbooks created: 100% of automations have SOP + short walkthrough
- Reliability: < 1% failed runs (7day rolling) with alerting and runbooks
