A fast-growing residential cleaning company based in Colorado is seeking a proactive, organized, and tech-savvy Virtual Assistant to support daily operations. The ideal candidate is reliable, detail-oriented, and able to thrive in a fast-paced environment while communicating effectively with both customers and internal teams.

Key Responsibilities

Scheduling & Dispatching

  • Coordinate daily and weekly service schedules.

  • Dispatch cleaners to job sites and adjust schedules as needed.

  • Monitor progress and resolve real-time issues or last-minute changes.

Customer Support & Communication

  • Handle inbound phone calls, text messages, and emails.

  • Respond promptly and professionally to customer inquiries, concerns, and service requests.

  • Assist with job confirmations, follow-ups, and service updates.

Operations & Administrative Support

  • Manage invoices: send, track, follow up on unpaid invoices, and record payments.

  • Address billing discrepancies or questions from customers or staff.

  • Maintain accurate records of jobs, adjustments, and team communications.

Marketing & Social Media Coordination

  • Collaborate in Slack with the SEO and social media team.

  • Assist in managing the companys Google Business Profile, including responding to reviews and customer messages.

  • Participate in managing social media groups, online forums, and brand presence.

Growth & Outreach

  • Conduct cold calls and send cold emails to generate new leads and partnerships.

  • Support promotional activities, marketing campaigns, and outreach strategies to grow the customer base.

Qualifications

  • Minimum of 2-3 years experience as a Virtual Assistant.

  • Excellent written and verbal communication skills.

  • Strong organizational and time-management abilities.

  • Experience handling customer support, scheduling, or operations.

  • Proficiency with communication platforms such as Slack, email, and VoIP tools.

  • Basic understanding of invoicing and administrative documentation.

  • Familiarity with social media management and Google Business Profile.

  • Ability to multitask and work efficiently in a fast-paced environment.

  • Strong problem-solving skills and attention to detail.

  • Tech-savvy and comfortable learning new tools and systems quickly.
