Overview:

We are seeking a proactive and detail-oriented Executive Assistant to provide comprehensive administrative and operational support to the executive. This roles primary goal is to ensure the executives day runs smoothly by managing schedules, handling communications, conducting research, and completing assigned tasks efficiently. The ideal candidate will have excellent typing skills, strong business communication abilities, and a meticulous attention to detail, with the ability to anticipate needs before they arise.

Key Responsibilities:

Provide day-to-day support to the executive, ensuring priorities are managed and deadlines are met.

Prepare and manage a daily task list, keeping the executive informed and on track.

Maintain the executives calendar, schedule appointments, and send timely reminders.

Draft, edit, and send professional business emails; update meeting notes and summaries.

Make phone calls on behalf of the executive, handling inquiries and resolving matters promptly.

Conduct online research (e.g., Google listings) and present clear recommendations.

Handle errands, purchases, and transactions as delegated (including use of provided credit card).

Monitor follow-ups, track pending actions, and proactively remind the executive of next steps.

Ensure all communications reflect the executives professional image and standards.

Qualifications:

Proven experience as an Executive Assistant, Administrative Assistant, or similar role.

Strong typing speed and accuracy.

Excellent written and verbal business communication skills.

Highly organized with exceptional attention to detail.

Comfortable making calls, asking clarifying questions, and handling inquiries.

Skilled in online research and navigating digital tools.

Discreet and trustworthy with confidential information.
