Procurement and Inventory Specialist

The Procurement and Inventory Specialist is responsible for executing and supporting the full procurement cycle, inventory control, logistics coordination, and administrative tasks. This role requires strong organizational skills, attention to detail, and the ability to manage a high volume of transactions and communications in a fast‑paced environment.

RESPONSIBILITIES

  • Request vendor quotations and prepare purchase orders in accordance with company procedures and policies.
  • Create new vendors in the system and maintain their files up to date.
  • Maintain effective communication with suppliers and follow up on all purchase‑related matters.
  • Request purchase order approvals following established company workflows.
  • Keep the purchase log updated to ensure visibility for the company.
  • Record and monitor inventory of received supplies and coordinate shipments to project managers.
  • Conduct periodic physical inventory audits.
  • Maintain and control Teksol's fixed asset schedule, including depreciation tracking.
  • Ensure all supporting documentation for transactions is complete and properly archived according to company procedures.
  • Track and follow up on closing entry transactions.
  • Assist with administrative tasks such as answering phone calls, receiving visitors, and supporting special projects.
  • Plan and coordinate the runner's weekly logistics route, ensuring smooth and efficient movement of materials and personnel among projects, offices, and other operational points.
  • Assist the accounting team with financial tasks as needed.
  • Coordinate the movement of merchandise between various locations, ports, and final destinations.
  • Process purchase orders, prepare bids and proposals, and reconcile invoice discrepancies.
  • Set personal objectives aligned with project and departmental goals.
  • Identify opportunities for process improvement and increased efficiency within purchasing and logistics operations.
  • Meet all established deadlines for assigned tasks.
  • Demonstrate leadership and initiative in assigned projects.
  • Perform any other duties as assigned.

REQUIREMENTS

  • Associate or Bachelor's Degree in Business Administration, Operations Management, Engineering, or related field
  • Minimum one (1) year of work experience preferable in purchase orders, invoicing, inventory management.
  • Construction industry knowledge preferred.
  • Knowledge of Quickbooks (preferred)
  • Knowledge of Microsoft Office programs (Outlook, Excel, Word, PowerPoint)
  • Strong leadership, organization, time management, and attention to detail.
  • Ability to work independently in a fast-paced environment.
  • Excellent prioritization and multitasking skills.
  • Strong commitment to quality, reliability and customer satisfaction.
  • Excellent interpersonal, oral and written communication skills in English and Spanish
  • Knowledge of logistics terminology, including but not limited to: FOB, CIF, Lead Time, Freight Forwarding, etc.
  • Familiarity with shipping processes, port operations, and merchandise handling.

This position might require travel around the island. Availability to work Monday to Friday, and work non-regular hours, such as weekends and holidays, if necessary.
