The Office Manager will be instrumental in driving the continued success of our medically-focused optometry practice. This position focuses on comprehensive practice management, with an emphasis on medical services, specialized treatments, and operational excellence.

Primary Focus Areas

  • Medical service operations (comprehensive assessments, imaging)
  • Specialty services management (dry eye treatment, myopia control, complex contact lenses)
  • Practice administration, communications, liaison and team management
  • Drive continuing customer service excellence
  • Recognize and drive business growth opportunities
  • Utilize tools and social media for marketing
  • Help to keep and grow an already fun and family culture in the practice at all times
  • Support staff and doctors do what they do best, with a sense of ownership in the practice.

Key Responsibilities

Oversee daily operations of a medical-focused optometry practice, ensuring smooth workflow between clinical and administrative functions

Manage and optimize scheduling for specialized services including:

  • Comprehensive eye assessments
  • Advanced imaging procedures
  • Dry eye treatments
  • Myopia control programs
  • Complex contact lens fittings
  • Spectacle retail sales assisting

Lead administrative and support staff while maintaining clear communication channels with clinical team and practitioners

Develop and implement operational procedures that enhance practice efficiency, service awareness and patient care

Oversee revenue cycle management across all service lines, with particular attention to:

  • Medical billing
  • Insurance processing
  • Patient financial services

Coordinate with doctors to ensure optimal patient flow and service delivery

Manage and enhance vendor, labs and service partner relationships and equipment maintenance schedules

Drive continuous improvement and culture in practice operations and outstanding patient experience

Maintain compliance with healthcare regulations and practice standards

Support marketing initiatives for specialty services and medical treatments

Ideal Candidate Profile:

  • Healthcare practice management experience, preferably in ophthalmology, optometry, or similar medical settings as opposed to strictly retail optician services.
  • Strong understanding of medical practice operations and revenue cycles
  • Experience managing teams in a clinical environment
  • Excellent organizational and communication skills
  • Background in healthcare administration or related field
  • Knowledge of medical billing and insurance procedures
  • Proven track record of implementing operational improvements in private clinical settings
