About the job General Services & Travel Specialist
Accountabilities and Responsibilities:
Travel administration (including, but not limited to):
To assist with timely arrangements and in compliance with the policies, hotel and ticket booking, transportation.
To monitor and ensure timely update of the data bases and scan copies of travel forms on open data drive, keep record of in/out travels.
To check and control of invoices for the travel services rendered.
To archive, preparation of travel expense reports, travel reports, boarding passes.
Apartments administration for expatriate employees (including, but not limited to):
- To liaise with real estate agencies and landlords for the selection, check-in & check-out.
- In case of urgency support and accompany personnel in the selection of the apartment.
- To be responsible for the requests sent for the technical maintenance.
- To control all maintenance issues and problem solving.
- To check for payment for utilities, including internet provision at home.
- To maintain and follow-up of relevant databases.
- To check the cleaning service provision at the apartments.
- To check & control timely the cleaning ladies timesheets provision.
General Services Contracts Administration and Budget Compliance:
- To administer the maintenance of the Company premises, provision of coffee-room, stationery consumables, brokerage & postal services, business lunches, coffee breaks and other general services upon Company requirements.
To monitor and ensure all office transportation requirements are carried out accurately; to ensure all transportation is in good order and has timely annual technical certification.
- To ensure timely contract arrangements/ contract extensions for relevant services, including but not limited to office lease and maintenance.
- Raise procurement forms for the provision of relevant services.
- 17. To arrange monthly check of relevant invoices.
Qualifications & Experience:
The job holder must have:
- University degree.
- 2 years of relevant work experience in the industry.
Required Competencies:
The job holder must have proven:
- Good verbal and written English.
- Good listening comprehension skill, clearly understanding of requests and responding well to questions.
- Writes clearly and informatively.
- Work as a team-member and establish good working relationships.
Working Conditions:
Office based, 5/2 scheduled work with business trips around KZ and abroad, when required.
