Job Title: Order Processing & Transportation Support Officer (CP & RC Products)

Location: HCMC / Bien Hoa City, Vietnam

Working Hours: 09:00 AM – 06:00 PM


Job Purpose:

Ensure seamless and efficient customer service for both internal and external stakeholders through effective cross-functional collaboration. The role focuses on order processing, logistics coordination, and transportation support to ensure products are delivered accurately, on time, and in compliance with local and company regulations.


Key Responsibilities:

1. Order Processing

- Review and validate customer orders in the system

- Coordinate with Sales team to confirm order details and required adjustments

- Release confirmed orders for further processing and monitor order status until completion

- Handle and follow up cases on customer/vendor platforms

- Process manual invoices for special programs when required

- Support issuance of ad-hoc invoices

- Handle exceptions during order processing, including returns, adjustments, and invoice replacements

2. Transportation Support

- Prepare delivery-related documents including delivery address, invoices, receiving, and shipping documents

- Coordinate with Sales team to confirm delivery schedules

- Send delivery notifications to Sales team via email

- Support Transportation Management System (TMS) activities:

- Update shipment information in the system

- Monitor delivery status and execution timelines

- Coordinate with stakeholders to resolve transportation-related issues

- Support Logistics Visibility Management (LVM):

- Track and update shipment status

- Ensure logistics data accuracy and reporting

- Follow up discrepancies or delivery delays


Requirements:

- Bachelor’s degree in Business Administration, Supply Chain, Logistics, Economics, or related fields

- Experience in Order Processing, Customer Service, or Transportation Management is preferred

- Knowledge of SAP, TMS, LVM, and e-invoicing systems is an advantage

- Strong cross-functional coordination and communication skills

- Detail-oriented, organized, and able to manage multiple priorities

- Customer-focused with strong stakeholder management skills

- Problem-solving mindset with learning agility and accountability
