Job Summary:


We are seeking a detail-oriented and organized Remote Lease Renewals Assistant to support our property management team by managing the lease renewal process and ensuring all renewal activities are completed accurately and on time. In this role, you will track lease expiration dates, prepare and send renewal offers, follow up with tenants regarding renewal decisions, and assist with drafting and processing renewal agreements. You will also ensure lease documentation complies with applicable NYC regulations and maintain accurate records by updating internal systems such as AppFolio and OneDrive. The position requires strong communication and coordination with tenants as well as internal teams including leasing, accounting, and management to ensure a smooth renewal process. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple deadlines in a fast-paced environment while maintaining accurate documentation and professional communication.

Key Responsibilities:

  • Track upcoming lease expirations and maintain renewal schedules.
  • Prepare and send lease renewal offers to tenants.
  • Follow up with tenants regarding renewal decisions.
  • Draft and process renewal agreements and related documents.
  • Ensure all lease documentation is complete and compliant with NYC regulations.
  • Update internal systems (AppFolio and One Drive) with renewal details.
  • Communicate with leasing, accounting, and management teams to ensure smooth processing.
  • Assist with tenant inquiries related to lease terms and renewals.
  • Perform other tasks related to the position.

Qualifications & Requirements:

  • Proficient level of English (written and spoken).
  • Previous experience in property management, real estate, leasing coordination, or a related field preferred.
  • Determined with strong organizational and time-management skills.
  • High attention to detail and accuracy.
  • Ability to handle multiple tasks and deadlines.
  • Familiarity with AppFolio is highly preferred, but not required. 
  • Basic understanding of NYC rental regulations (HPD, DHCR, etc.) is a plus.
  • Proficiency with Microsoft Office (Word, Excel, Outlook), OneDrive, and standard business tools (email, spreadsheets, document management).
  • Out-of-the-box thinker, proactive, reliable, organized, detail-oriented, self-motivated, and confident approach.
  • Strong interpersonal and communication skills and collaboration skills.
  • Positive attitude and the ability to learn and adapt quickly.
  • Ability to understand and follow established processes accurately with minimal supervision.
  • Ability to work in alignment with U.S. Eastern Time (New York time) business hours for at least four hours.
