About the job Remote ABA Client Services Coordinator
Job Summary:
We are seeking a compassionate, organized, and detail-oriented Remote ABA Client Services Coordinator to support clients and families receiving Applied Behavior Analysis (ABA) and autism-related services. This role acts as a primary point of contact for client inquiries, ensuring clear communication between families, therapists, and internal teams while maintaining a high level of professionalism and empathy. The ideal candidate has experience in call center or administrative environments, is comfortable managing high call volumes, and excels at coordinating schedules, maintaining accurate records, and assisting with client onboarding processes. Success in this position requires strong communication skills, attention to detail, and the ability to work efficiently in a fast-paced, service-focused environment while supporting families with care and professionalism.
Key Responsibilities:
- Serve as the primary point of contact for incoming client and family inquiries via phone, email, and messaging systems.
- Manage high call volumes while providing professional and empathetic customer support.
- Schedule and coordinate ABA therapy appointments and services.
- Assist families with onboarding, intake documentation, and service-related questions.
- Maintain accurate client records and update internal systems.
- Communicate with clinicians, therapists, and internal teams to ensure smooth service delivery.
- Follow up with clients regarding appointments, documentation, and service updates.
- Support general office operations and administrative tasks as needed.
- Perform other tasks related to the position.
Qualifications & Requirements:
- Proficient level of English (written and spoken).
- Experience working with Applied Behavior Analysis (ABA) programs or Autism services strongly preferred.
- Previous call center experience.
- Prior administrative or office support experience.
- Ability to handle sensitive situations with empathy and professionalism.
- Excellent organizational and multitasking skills.
- Comfortable working with scheduling systems, CRMs, or electronic records.
- Familiarity with ABA terminology, therapy scheduling, or clinical service coordination.
- Experience supporting families of individuals with autism.
- Strong customer service orientation and problem-solving abilities.
- Fast-paced setting requiring strong communication and organizational skills.
- Proficiency with Microsoft Office (Word, Excel, Outlook), and standard business tools (email, spreadsheets, document management).
- Out-of-the-box thinker, proactive, reliable, organized, detail-oriented, self-motivated, and confident approach.
- Strong interpersonal and communication skills and collaboration skills.
- Positive attitude and the ability to learn and adapt quickly.
- Ability to understand and follow established processes accurately with minimal supervision.
- Ability to work in alignment with U.S. Eastern Time (New York time) business hours for at least four hours.
