Job Summary:

We are seeking a reliable, professional, and proactive Remote Virtual Assistant & Customer Service Specialist to join our team. The ideal candidate is fluent in English, has a positive attitude, and is experienced in handling customer communications across multiple platforms such as WhatsApp, email and phone. This role requires strong organizational skills to manage customer interactions, coordinate with internal teams, maintain accurate records, and support administrative tasks. The ideal candidate has proven experience in customer service or related roles, excellent communication and email etiquette, and the ability to work independently with sound judgment. Familiarity with CRM systems like Pipedrive is a plus.

Key Responsibilities:

  • Send and receive messages via WhatsApp and other communication platforms.
  • Handle customer service tasks and conduct timely follow-ups.
  • Create, assign, and manage tasks (e.g., reminders, updates).
  • Maintain accurate communication logs and records.
  • Represent the company professionally in all customer interactions.
  • Coordinate with internal teams to resolve customer issues efficiently.
  • Update and maintain customer information in the CRM system.
  • Assist in preparing reports on customer interactions and feedback.
  • Monitor customer inquiries accordingly.
  • Perform general administrative and data-related tasks as needed.
  • Perform other tasks related to the position.

Qualifications & Requirements:

  • Proficient level of English (written and spoken).
  • Strong phone and interpersonal communication skills in English (verbally and written) with the ability to effectively engage with cross-functional teams, internal leaders, and providers.
  • Organized, positive attitude and a professional approach to problem-solving, with strong attention to detail and the ability to learn quickly.
  • Excellent Email etiquette.
  • Strong sense of responsibility with the ability to understand shifting priorities and take initiative.
  • Proven experience in roles such as administrative assistant, data entry, customer service, call center agent, operations support, or other relevant positions is required.
  • Proficiency in Microsoft Office (Word, Excel) and Google Workspace (Docs, Sheets).
  • Professional, polite, and customer-focused tone.
  • Familiarity with Pipedrive CRM is preferred but not required.
  • Sound judgment and the capacity to comprehend and execute instructions promptly with minimal supervision.
  • Must have a Windows computer (Windows 10 or newer) that is less than 4 years old.
  • Two monitors and a high-speed fiber network or Starlink internet.
