Job Summary:
We are seeking a reliable and proactive Remote Property Management & Administrative Assistant to support the daily operations of a New York–based property management company managing rental properties in the United Kingdom. This role involves coordinating property viewings, managing communications with tenants, prospective tenants, and local authorities, and handling calls, emails, and correspondence related to rental properties. The position also includes maintaining organized records, preparing viewing schedules, following up on rental inquiries, verifying tenant eligibility for council programs, and supporting general administrative and scheduling tasks. The ideal candidate is a quick learner with strong follow-up skills, excellent communication abilities, and the capacity to multitask in a fast-paced environment. This role requires a detail-oriented and highly organized professional who can provide strong customer service, maintain accurate records, and support office operations with minimal supervision. The position plays a key role in facilitating tenant management, coordinating property viewings, and helping ensure consistent rental activity and income through timely communication and efficient administrative support.
Key Responsibilities:
- Handle incoming and outgoing calls, emails, and general correspondence related to property management.
- Coordinate and schedule property viewings for rental units.
- Prepare and send viewing lists and appointment confirmations.
- Communicate with tenants, prospective tenants, and local authorities/councils regarding property matters in the United Kingdom.
- Follow up with prospects and stakeholders to ensure timely responses and progress on rental inquiries.
- Verify tenant eligibility for council programs or incentives when applicable.
- Maintain accurate records of viewings, tenant communications, and property updates.
- Assist with scheduling, reminders, and general coordination tasks as a virtual/personal assistant.
- Support day-to-day administrative and secretarial tasks for the office.
- Perform other tasks related to the position.
Qualifications & Requirements:
- Proficient level of English (written and spoken).
- Strong interpersonal and phone communication skills with excellent customer service approach.
- Ability to multitask and manage follow-ups efficiently.
- Highly adaptable and organized with strong attention to detail.
- Previous administrative or customer service experience is a plus but not required.
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and proficiency with spreadsheets.
- Out-of-the-box thinker with a reliable, self-motivated, and confident approach, demonstrating a positive attitude and the ability to learn quickly.
- Sound judgment and the capacity to comprehend and execute instructions promptly with minimal supervision.
- Ability to work in alignment with U.S. Eastern Time (New York time) business hours - 8:00 AM to 4:00 PM.
