Job Summary:
We are seeking a highly organized and customer-focused Remote Property Management Assistant (Bilingual: Spanish & English) to support our growing real estate property management operations. The ideal candidate will have experience in property management, billing, and client communications. This role is critical in supporting administrative functions for residential or commercial real estate portfolios, ensuring timely billing and delivering excellent service to tenants, property owners, and internal teams.

Key Responsibilities:

  • Manage accounts receivable and handle lease renewals, ensuring timely collection and accurate documentation.
  • Send out monthly billing statements and follow up on outstanding accounts via phone and email.
  • Respond to billing-related inquiries from tenants and property owners with accuracy, empathy, and professionalism.
  • Perform administrative tasks, including data entry, documentation, and updating tenant and owner records.
  • Resolve customer concerns and billing disputes promptly, escalating complex issues when necessary.
  • Maintain high levels of customer satisfaction through courteous and effective communication.
  • Stay updated on real estate programs and policies, including NYPCHA, Section 8, and other New York housing programs, to provide accurate support.
  • Review, verify, and process invoices, payments, and account adjustments.
  • Investigate and resolve billing discrepancies in a professional and efficient manner.
  • Collaborate with internal departments to ensure timely and accurate issue resolution.
  • Assist with tenant registrations, onboarding, and general support throughout the rental process.
  • Help manage property occupancy, actively working to fill vacancies and increase tenant retention.
  • Maintain organized and detailed records of all customer interactions and financial transactions.
  • Contribute to process improvement initiatives and suggest enhancements to workflow and tenant experience.
  • Meet or exceed performance metrics such as response time, resolution rate, and customer satisfaction.

Qualifications & Requirements:

  • Advanced level of English (written and spoken).
  • Advanced level of Spanish (written and spoken).
  • Excellent communication, interpersonal, and problem-solving skills.
  • Experience in a billing or customer service role and/or within property management.
  • Experience as a secretary is a plus.
  • Prior experience in billing, customer service, or real estate property management required.
  • Knowledge of  real estate programs and policies, including NYPCHA, Section 8, and other New York housing programs, to provide accurate support. 
  • Strong understanding of property management billing (e.g., rent, maintenance, late fees).
  • Exceptional attention to detail and strong organizational skills.
  • Ability to multitask and meet deadlines in a fast-paced remote environment.
  • Knowledge of Microsoft Office (Excel, Word) and CRM platforms.
  • Professional phone etiquette and customer service mindset.
  • Ability to work independently and remotely with minimal supervision.
  • Must have a Windows computer (Windows 10 or newer) that is less than 4 years old.
  • Two monitors and a high-speed fiber network or Starlink internet.
