Job Summary:
We are seeking a highly experienced Property Management Expert with a deep understanding of U.S. property management practices. This individual must be capable of managing complex tasks from start to finish, coordinating with multiple stakeholders, and maintaining exceptional attention to detail. The ideal candidate will have experience as a personal or executive secretary, possess strong leadership and communication skills, and be proactive in solving problems under pressure.

Key Responsibilities:

  • End-to-End Task Execution: Manage entire processes - from reviewing contracts to finalizing with attorneys, filing, and tenant communication.
  • Stakeholder Coordination: Work closely with attorneys, tenants, vendors, and architects to ensure aligned execution.
  • Maintenance Management: Oversee maintenance end-to-end schedule vendors, follow up on repairs, and ensure resolution.
  • Financial Oversight: Support bookkeeping, review financials, resolve discrepancies, and process invoices.
  • Outbound Communication: Make follow-up calls to attorneys, tenants, and other stakeholders to drive progress.
  • Documentation: Maintain organized records of contracts, permits, correspondence, and financial documents.
  • Problem Resolution: Handle tenant issues, payment delays, and legal concerns with discretion and professionalism.
  • Lease Management: Administer leases end-to-end prepare, review, renew, and track compliance.
  • Compliance Monitoring: Ensure adherence to legal, safety, and insurance requirements.
  • Vendor Relations: Build and manage vendor relationships, negotiate rates, and ensure service quality.
  • Scheduling & Deadlines: Coordinate inspections, appointments, and critical compliance timelines.
  • Tenant Relations: Deliver excellent support from move-in to move-out, addressing concerns effectively.
  • Project Oversight: Assist in construction/renovation projects, tracking milestones and budgets.
  • Reporting: Compile regular financial and operational reports for leadership review.
  • Perform other tasks related to the position.

Qualifications & Requirements:

  • Advanced level of English (written and spoken).
  • Excellent communication, interpersonal, and problem-solving skills.
  • Proven experience in property management, ideally with U.S.-based properties
  • Strong background as a personal or executive secretary is highly preferred
  • Excellent written and verbal communication skills
  • Highly organized with the ability to manage multiple tasks simultaneously
  • Proactive and resourceful thinker with strong leadership capabilities
  • Able to work independently and under pressure
  • Familiarity with bookkeeping, accounting, or financial management
  • Strong interpersonal skills to manage relationships with various stakeholders
  • Strong understanding of property management billing (e.g., rent, maintenance, late fees).
  • Exceptional attention to detail and strong organizational skills.
  • Ability to multitask and meet deadlines in a fast-paced remote environment.
  • Proficiency in Microsoft Office (Excel, Word) and CRM platforms.
  • Professional phone etiquette and customer service mindset.
  • Knowledge of U.S. tenant-landlord laws and legal documentation
  • Experience with property management software and tools (e.g., Buildium, AppFolio, Yardi, etc.)
  • Ability to anticipate needs and take initiative without constant supervision
  • Multitasking and time management in fast-paced environments
  • Ability to work independently and remotely with minimal supervision.
  • Must have a Windows computer (Windows 10 or newer) that is less than 4 years old.
  • Two monitors and a high-speed fiber network or Starlink internet.
