Job Summary:
We are seeking a creative, detail-oriented, and highly organized Remote Party Planner to join our team. This role involves planning, coordinating, and managing events from start to finish while delivering exceptional service to our clients. This candidate has excellent customer service skills and a friendly personality, is a quick thinker, a strong communicator, and thrives in a dynamic environment. The candidate must be proficient in managing emails and file organization and has working knowledge of tools such as Kriket (or similar event management tools), Canva (for creating event visuals), and Excel or Google Sheets (for managing budgets, timelines, and guest/vendor details). Fluency in English and Spanish is required; French is a plus.
Key Responsibilities:
- Manage incoming phone calls in a friendly and professional manner.
- Book and coordinate events, collecting all required details from clients.
- Contribute creative ideas for event themes, layouts, and setups.
- Attend virtual meetings and events in a polished and professional appearance.
- Assist with event setup and ensure timely execution.
- Coordinate with vendors, venues, and clients to confirm event logistics.
- Maintain and update event schedules, budgets, and guest lists using spreadsheets and event management tools.
- Prepare and send event-related communications and reminders to clients and vendors.
- Monitor event progress and promptly address any issues or changes that arise.
- Support post-event activities, including feedback collection and reporting.
- Perform other tasks related to the position.
Qualifications & Requirements:
- Advanced level of English (written and spoken) required.
- Advanced level of Spanish (written and spoken) required
- Advanced level of French (written and spoken) preferred but not required.
- Experience required in event planning or related roles is a must.
- Excellent customer service with a professional and approachable demeanor.
- Strong multitasking skills and ability to remain calm under pressure
- Proactive and resourceful in addressing issues and client inquiries.
- Computer knowledge includes email, file management, and document editing.
- Creative experience using Canva for invitations, flyers, and event materials
- Experience with spreadsheets (Excel or Google Sheets) for tracking budgets, schedules, and guest lists.
- Knowledge of event planning tools like Kriket or similar platforms.
- Strong organizational and time-management skills with attention to detail
- Ability to work independently and collaboratively within a team.
- Flexibility to adapt to changing priorities and deadlines.
- Ability to work independently and remotely with minimal supervision.
- Must have a Windows computer (Windows 10 or newer) that is less than 4 years old.
- Two monitors and a high-speed fiber network or Starlink internet.
