Job Summary:
We are looking for a reliable and detail-oriented Remote Bookkeeper Accounts Payable Specialist to join our growing team. This individual will play a key role in ensuring that all vendor bills are accurate, well-documented, and processed in a timely manner. The ideal candidate is organized, self-driven, and possesses a solid understanding of business and accounting principles.

Key Responsibilities:

  • Review incoming bills and leads from vendors to verify accuracy, proper formatting, and ensure correct amounts are submitted.
  • Ensure all bills are supported by appropriate and complete documentation.
  • Confirm that each bill has been properly received and uploaded to the designated system or website.
  • Perform data entry of bills and related financial information into accounting software.
  • Match purchase orders, packing slips, and invoices to ensure consistency and accuracy.
  • Reconcile vendor accounts and follow up on discrepancies or missing documentation.
  • Monitor accounts to ensure payments are up to date and deadlines are met.
  • Assist in month-end closing procedures, including accounts payable reporting and accruals.
  • Respond to vendor inquiries and maintain positive working relationships.
  • Maintain organized and up-to-date digital financial records.
  • Collaborate with team members and vendors as needed to resolve issues.
  • Perform other tasks related to the position.

Qualifications & Requirements:

  • Advanced level of English (written and spoken).
  • Excellent written and verbal communication skills.
  • Excellent interpersonal skills, self-motivation, and attention to detail.
  • Experience as a bookkeeper.
  • Must be located in and/or available to work during Eastern Standard Time business hours.
  • Proficiency in Microsoft Excel (e.g., data sorting, formulas, pivot tables).
  • Experience with QuickBooks or similar accounting software is a plus.
  • Strong general computer skills and familiarity with online collaboration tools.
  • Good understanding of basic business and accounting principles.
  • High level of accuracy, attention to detail, and confidentiality.
  • Excellent time management and organizational skills.
  • Analytical thinker with a proactive and solution-oriented mindset.
  • Ability to handle multiple tasks and meet deadlines.
  • Ability to work independently with minimal supervision
  • Must have a Windows computer (Windows 10 or newer) that is less than 4 years old.
  • Two monitors and a high-speed fiber network or Starlink internet.
