Job Summary:
Were looking for an experienced and proactive Virtual Assistant whose main focus will be data entry to support our service for construction companies. Our work involves documenting standard operating procedures (SOPs), organizing digital file systems, and setting up project management software. The ideal candidate is quick to understand instructions, detail-oriented, and able to work independently with minimal supervision. Basic knowledge of the construction industry or blueprints is a plus, and familiarity with task management tools like ClickUp, Asana, BuilderTrend, or JobThread is highly preferred.

Key Responsibilities:

  • Enter and organize data related to SOPs, project workflows, and file systems.
  • Help document and format operational procedures.
  • Support the setup and maintenance of project management or task-tracking tools.
  • Perform general administrative and data-related tasks as needed.
  • Communicate with team members to clarify data requirements and ensure accuracy.
  • Assist in updating and maintaining digital databases and cloud storage systems.
  • Generate and prepare reports based on project data for management review.
  • Perform other tasks related to the position.

Qualifications & Requirements:

  • Advanced level of English (written and spoken).
  • Strong communication skills in English (spoken and written) with the ability to effectively engage with cross-functional teams, internal leaders, and providers.
  • Excellent interpersonal skills, with strong attention to detail and the ability to learn quickly.
  • Self-motivated, proactive, and solution-oriented with a strong sense of responsibility.
  • Sound judgment and the capacity to comprehend and execute instructions promptly with minimal supervision.
  • Prior experience in roles such as administrative assistant, data entry, secretary, personal assistance, operations support, or other relevant positions.
  • Excellent organizational and follow-up abilities.
  • Proficiency in Microsoft Office (Word, Excel) and Google Workspace (Docs, Sheets).
  • Experience with task management tools such as ClickUp, Asana, BuilderTrend, or JobThread.
  • Familiarity with construction industry terms, workflows, or blueprint reading is a plus, but not required.
  • Ability to work independently with minimal supervision.
  • Must have a Windows computer (Windows 10 or newer) that is less than 4 years old.
  • Two monitors and a high-speed fiber network or Starlink internet.
