Job Summary:


We are seeking a highly organized and proactive Remote Insurance Operations Specialist to support the day-to-day operations of a growing insurance agency. This role is responsible for managing operational workflows, handling client requests, preparing and processing insurance quotes, coordinating with carriers, managing policy renewals, and maintaining accurate client records to ensure policies and updates are handled efficiently. The ideal candidate is detail-oriented, resourceful, and tech-savvy, with the ability to manage multiple tasks, follow up with clients and carriers, and maintain organized workflows. This position works closely with the CEO, taking ownership of operational responsibilities so leadership can focus on strategic decisions and business growth.

Key Responsibilities:

  • Manage day-to-day operational tasks for the insurance agency.
  • Prepare and process new client quotes across multiple insurance carriers.
  • Shop carriers and compare coverage options to prepare proposals for clients.
  • Follow up with insurance carriers and clients regarding quotes, applications, and policy updates.
  • Coordinate and manage policy renewals to ensure timely processing.
  • Maintain accurate client records and policy data within the agency's CRM system.
  • Assist with general office operations and administrative tasks.
  • Track communications and ensure all client inquiries are addressed promptly.
  • Support the CEO by managing operational details so leadership can focus on strategic initiatives.
  • Perform other tasks related to the position.

Qualifications & Requirements:

  • Proficient level of English (written and spoken).
  • Experience in operations, customer service, data entry, administrative support or similar roles.
  • Experience with insurance carrier portals/websites is a plus.
  • Experience preparing insurance quotes or working with carriers is highly preferred.
  • Strong organizational and time management skills.
  • High attention to detail, accuracy, and initiative.
  • Tech-savvy and comfortable learning new systems, including agency management software and carrier portals.
  • Comfortable navigating multiple software systems.
  • Proactive in managing workflows and follow-ups.
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and standard business tools (email, spreadsheets, document management).
  • Out-of-the-box thinker, proactive, reliable, organized, detail-oriented, self-motivated, and confident approach.
  • Positive attitude and the ability to learn and adapt quickly.
  • Ability to understand and follow established processes accurately with minimal supervision.
  • Ability to work in alignment with U.S. Eastern Time (New York time) business hours for at least four hours.
