Job Summary:
We are seeking a highly detail-oriented Remote Wholesale Order & Shipping Coordinator to manage the day-to-day fulfillment and logistics operations of its wholesale business. This role will serve as the primary point of contact between internal teams and warehouse partners, ensuring that all wholesale orders are processed accurately and shipped in a timely manner. The position involves managing wholesale orders end-to-end, coordinating shipping logistics, preparing and reviewing Bills of Lading (BOL) and other shipping documentation, and generating shipping labels through backend systems. The coordinator will also track shipments, communicate regularly with warehouse teams to confirm shipping and inventory details, maintain accurate inventory records, and promptly address any fulfillment issues or discrepancies. The ideal candidate has hands-on experience with shipping logistics, BOL documentation, and inventory management processes, along with strong written communication skills to handle high-volume professional email correspondence. This role requires exceptional attention to detail, strong organizational skills, and the ability to multitask in a fast-paced environment. The successful candidate will be a self-motivated professional capable of working independently in a remote setting while ensuring efficient and accurate order fulfillment operations.
Key Responsibilities:
- Manage and fulfill incoming wholesale orders end-to-end, ensuring accuracy and timely processing.
- Coordinate shipping logistics and serve as a traffic controller for all outbound shipments.
- Communicate directly with warehouse teams via email to request, relay, and confirm shipping and inventory information.
- Prepare, review, and process Bills of Lading (BOL) and other shipping documentation.
- Monitor inventory levels and maintain accurate inventory records using standard inventory management language and systems.
- Generate and manage shipping labels on the backend system.
- Track shipments and proactively resolve any fulfillment issues or discrepancies.
- Maintain organized records and ensure all communications and transactions are thoroughly documented.
- Perform other tasks related to the position.
Qualifications & Requirements:
- Proficient level of English (written and spoken).
- Strong written communication skills; must be comfortable with high-volume professional email correspondence.
- Prior hands-on experience with Bills of Lading (BOL) - this is a non-negotiable requirement.
- Demonstrated experience in shipping, logistics, and/or freight coordination.
- Prior experience working with wholesale or distribution operations.
- Solid understanding of inventory management systems, processes, and terminology.
- Experience generating and managing shipping labels through backend systems.
- Exceptional attention to detail - accuracy is critical in this role.
- Ability to multi-task and manage competing priorities in a fast-paced environment.
- Self-motivated and capable of working independently in a remote setting.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Out-of-the-box thinker with a reliable, self-motivated, and confident approach, demonstrating a positive attitude and the ability to learn quickly.
- Sound judgment and the capacity to comprehend and execute instructions promptly with minimal supervision.
- Ability to work in alignment with U.S. Eastern Time (New York time) business hours.
