Job Summary:
We are seeking a Remote Payroll Specialist to manage and process multiple weekly and biweekly payrolls while ensuring accuracy, compliance, and timely delivery. The role involves maintaining detailed payroll records, conducting HR audits, preparing reports on 401(k) contributions and overtime, and coordinating with insurance brokers and internal HR teams on audits and terminations. The ideal candidate has proven experience in U.S. payroll processes, including 401(k) administration, and demonstrates strong attention to detail, problem-solving skills, and the ability to work independently with minimal supervision. Proficiency in Microsoft Excel for reporting is essential, along with solid communication skills to engage effectively with internal teams and external partners. Experience with union payroll and healthcare or nursing home payroll is preferred, and familiarity with FingerCheck software is highly valued.
Key Responsibilities:
- Oversee and process payroll (four payrolls every week, total of eight biweekly).
- Conduct weekly HR audits.
- Communicate with insurance brokers and the HR department regarding audits or terminations as needed.
- Provide weekly updates on 401(k) status.
- Provide weekly updates to management on payroll and overtime data.
- Prepare and submit monthly union reports.
- Perform other ongoing administrative tasks as needed to support operations.
Qualifications & Requirements:
- Strong English communication skills (written and spoken).
- Strong and clear communication skills with the ability to engage effectively with cross-functional teams, internal leaders, providers, and potential clients.
- Strong proficiency in Microsoft Excel for reporting purposes.
- Proficiency in PowerPoint and general computer literacy.
- Proven experience in payroll processing.
- Experience with 401(k) payroll.
- Strong understanding of U.S. payroll processes.
- Knowledge of union payroll (preferred).
- Experience in the healthcare or nursing home sector (preferred).
- Knowledge of FingerCheck payroll software (highly preferred).
- Strong attention to detail and problem-solving skills.
- Sound judgment and the capacity to comprehend and execute instructions promptly with minimal supervision.
- Reliable computer (Windows 10 or newer), two monitors, and stable high-speed internet.
