The Role: Operations & Personal Assistant
This role exists to bring order, visibility, and control to day-to-day operations while ensuring the Managing Director is fully supported both professionally and personally. Acting as the operational backbone, you'll track progress across projects, enforce accountability, streamline communication, and ensure that tasks and priorities are always moving forward. Your work will enhance productivity, reduce stress on leadership, and strengthen internal systems.

Key Responsibilities

  • Minimum 3 years of experience in an operational, administrative, or PA role
  • Maintain full oversight of open projects, tasks, and tickets, ensuring workflow progresses on schedule
  • Follow up with team members and escalate delays or missed tasks early
  • Track maintenance reports, weekly checklists, and recurring routines
  • Prepare concise daily or weekly operational summaries for leadership
  • Coordinate internal communication between management and technical teams
  • Schedule, document, and follow up on internal meetings and action items
    Collect data from time entries, ticketing tools, and CRM systems for reporting
  • Assist with documenting, refining, and updating SOPs and checklists
  • Maintain internal systems (Microsoft 365, SharePoint, Teams, ConnectWise) for consistency
  • Manage the MD's calendar, focus blocks, and inbound communication
  • Support email triage, scheduling, and day-to-day admin tasks
  • Assist with business and personal organisation tasks such as travel, errands, and appointments
  • Maintain a strong internal culture and professional communication with clients

About You

  • 3+ years of experience in operations, admin, assistant, or coordination roles
  • Exceptionally organised, disciplined, and detail-oriented
  • Strong communicator who can engage confidently across all levels
  • Naturally proactive with excellent follow-through
  • Calm, steady, and professional under pressure
  • Strong time management with the ability to juggle multiple priorities
  • Tech-savvy with experience in Microsoft 365, Teams, SharePoint, and similar systems
  • Enjoys structure, processes, organisation, and order
  • Thrives in environments that value accountability and independence
  • A self-starter who anticipates needs rather than waits for instruction
