The Opportunity
We are seeking a highly organized, proactive, and tech-savvy Executive Assistant based in South Africa to provide dedicated support to the Co-Founder. Youll become a vital partner in structuring a busy calendar, managing stakeholder communications, and enabling operational excellence in a fast-paced, high-impact startup environment.

Core Responsibilities
Executive Support
- Manage the Co-Founders daily schedule across international time zones.
- Coordinate high-stakes internal and external meetings, including briefings and materials.
- Proactively manage emails, follow-ups, and gatekeeping responsibilities.
- Podcast guest appearance planning and interview scheduling.
- Co-founder coordination for both professional and personal commitments.
- Reminding birthdays, sending gifts/cards.
- Coordinating co-founders' personal life logistics.
Travel & Scheduling
- Plan and book travel (hotels, flights, itineraries) for the Co-Founder and team.
- Organise marketing events such as client dinners and breakfasts.
- Manage complex calendar logistics and time zone coordination.
- Event planning and on-site coordination when needed.
Sales & Client Support
- Provide sales support, including drafting proposals and contracts.
- Conduct account research and build prospecting lists using tools like Apollo.
- Brief Co-Founder before meetings with critical insights and talking points.
- Support client onboarding and follow-ups.
- Coordinate G2 reviews and awards submissions.
- Manage client hospitality and gifting strategies.
Operations & Project Management
- Track and drive execution of strategic projectsensuring nothing falls through the cracks.
- Support recruitment efforts by screening candidates and scheduling interviews.
- Manage company admin (including Companies House filings).
- Weekly cash flow updates and making payments.
- Sense-checking and validating data insights.
- Facilitate partnership communications and follow-ups.
Team & Learning Enablement
- Support the Head of Learning in coordinating deliverables for client-facing workshops or engagements.
- Prepare CS collateral such as slides and documentation.
- Assist with setting up and managing the internal AI tool environment.
Tools & Workflow Management
- Leverage Slack, Notion, HubSpot, Asana, Google Workspace, and Calendly to automate and streamline processes.
- Maintain documentation and SOPs.
- Build and optimize internal workflows to reduce manual overhead.
Requirements
Must-Haves
- 3+ years of experience as an Executive Assistant or Chief of Staff, ideally in tech, SaaS, or startups.
- High proficiency in Slack, Notion, Google Workspace, HubSpot, and project management tools (Asana/Trello).
- Excellent verbal and written English communication.
- Experience collaborating remotely and across international time zones.
- Relevant Degree or National Diploma.
