About the Role

This is not a traditional Executive Assistant role.

We are looking for a high-ownership operator to work directly with a fast-moving real estate entrepreneur who runs multiple entities, including:

  • Real estate acquisitions

  • Wholesale operations

  • A nonprofit foundation

  • A startup

  • A title company

You will function as a true right hand — someone who can take ownership of the operational layer, make decisions, and ensure nothing falls through the cracks across all areas of the business.

What You'll Do

Operate as the Executive's Right Hand

  • Manage and prioritize calendar, inbox, and communications

  • Act as a gatekeeper — filtering what reaches the executive

  • Prepare meetings with clear agendas and outcomes

  • Ensure priorities are executed without constant follow-up

Drive Execution Across All Entities

  • Coordinate real estate deals (deadlines, wires, closing timelines)

  • Track multiple moving priorities across acquisitions, operations, and projects

  • Communicate with agents, attorneys, lenders, and vendors (Spanish + English)

  • Ensure nothing slips — you own follow-through

Own Systems & Improve Operations

  • Build and maintain systems for task tracking, workflows, and follow-ups

  • Identify inefficiencies and fix them proactively

  • Create structure across multiple business lines

Financial & Operational Oversight

  • Review expenses, invoices, and payments

  • Flag inconsistencies before they become problems

  • Maintain organized records across all entities

What Success Looks Like

  • The executive does not need to follow up

  • Problems are solved before they escalate

  • Priorities move forward without constant direction

  • Everything is organized, tracked, and handled

Requirements

  • Fluent in English and Spanish (non-negotiable)

  • Based in Miami and able to work fully in-office

  • 2+ years in an Executive Assistant, Operations, or similar high-trust role

  • Experience in real estate or fast-paced environments preferred

  • Comfortable handling time-sensitive tasks (contracts, wires, deadlines)

  • Proficient with tools like Google Workspace, Asana, CRM systems, QuickBooks (or similar)

Work Environment

This is a fast-paced, unstructured environment.

Priorities will shift. New problems will come up daily. You will be expected to adapt quickly, make decisions, and keep things moving without constant direction.
