Executive Assistant (Operations-Focused)

Schedule: Part-Time (15–20 hours/week to start)
Compensation: $18–25/hr (1099 Contractor)

Real Property Solvers is a fast-growing real estate investment company based in Florida. We specialize in wholesale transactions, buy-and-hold properties, and building scalable systems that drive consistent deal flow.

We are in a growth phase and building stronger operational structure — KPIs, CRM organization, SOPs, and accountability systems — so the Owner can focus on acquisitions, partnerships, and scaling.

This role is critical to that next stage of growth.

The Role

This is not a basic administrative assistant role.

This is an Operations-Focused Executive Assistant position designed to bring structure, clarity, and accountability to a fast-moving real estate business.

You will serve as the operational backbone behind the CEO — ensuring KPIs are updated, CRM is clean, meetings are organized, follow-ups happen, and nothing falls through the cracks.

If you love structure, organization, tracking metrics, and keeping leaders accountable — this role is for you.

If you prefer highly repetitive tasks with minimal change, this is not the right fit.

What Youll Be Responsible For

  • Executive Support Manage CEO calendar (seller calls, investor meetings, internal team meetings)
  • Maintain inbox organization with 24-hour response standard

  • Prioritize communications and flag urgent matters

  • Prepare weekly meeting agendas and distribute follow-up notes

  • Coordinate weekly team meetings and accountability check-ins

KPI & Metrics Oversight (High Priority)

  • Maintain and update weekly KPI scorecards (Lead Manager, Acquisitions, Dispositions)
  • Track metrics inside CRM (REsimpli or similar)

  • Update expenses and operational data inside CRM

  • Identify inconsistencies or missing metrics proactively

  • Ensure weekly reporting cadence is consistent and on time

You must be comfortable working in spreadsheets and tracking numbers.

CRM & Process Management

  • Maintain CRM cleanliness and pipeline integrity

  • Ensure leads and contracts are properly tracked

  • Assist in building and updating SOPs

  • Help improve workflows and documentation

  • Organize digital files and contracts

Transaction & Property Support

  • Coordinate communication between title companies, buyers, and sellers when needed
  • Assist with turning on utilities for property turnovers

  • Monitor tenant-related communications and route appropriately

  • Support light transaction coordination tasks when necessary

Accountability & Follow-Through

  • Track delegated tasks and ensure completion

  • Follow up with team members on outstanding items

  • Help enforce operational consistency across the company

  • KPI dashboard updated weekly without reminders

  • CRM always clean and current

  • Inbox remains organized with no backlog

  • 100% of meetings have agendas and follow-up notes

  • No missed appointments or scheduling conflicts

  • Reporting delivered on time

  • SOP library grows consistently

  • CEO has mental clarity because details are handled

Requirements

  • Prior experience supporting an executive or business owner

  • Strong written and verbal communication skills

  • High attention to detail

  • Experience working in CRMs (real estate CRM preferred)

  • Comfortable with spreadsheets and KPI tracking

  • Strong follow-up skills

  • Ability to handle confidential information

  • Reliable internet and professional remote work setup

Preferred (Not Required)

  • Real estate investing experience (wholesale, buy-and-hold, creative finance)
  • Experience working with remote teams

  • Familiarity with KPI scorecards

  • Process documentation experience

  • Experience with REsimpli or similar CRM
