Job Title: Assistant to CEO (Entertainment industry)

Location: Remote

Work Hours: Full-time contractor, 40 hours/week I EST I Independent Contractor

Compensation: USD $2,000 - $2,500

Role Summary

We are hiring a high-ownership Executive Assistant to support a demanding CEO in the entertainment and events space. The CEO runs a high volume calendar, moves fast, and expects clarity, precision, and follow-through. This EA will act as the CEOs execution arm. Turning meetings, texts, and conversations into tracked action items and completed deliverables.

Context: The CEO leads an events and production business with a long track record of producing large-scale experiences and working with many vendors, venues, and partners, where logistics and details matter.

Key Responsibilities

  • Consolidate and manage all CEO calendars. Build a realistic schedule, protect focus time, handle last-minute changes.
  • Meetings + follow-through: join key calls, take sharp notes, capture decisions, owners, deadlines. Send same-day recaps and run an action tracker until tasks are completed.
  • Business development cadence: block and run weekly meetings with the CEO to review outreach, partnerships, and next steps. Hold the line on commitments.
  • Clarity + accountability: the CEO may give vague updates. You must ask direct questions and pull the real details. Example: if he says I texted Company A, youll confirm what was said, what was agreed, and what happens next.
  • Relationships + pipeline: maintain a simple CRM style tracker for partners, sponsors, investors, talent, venues. Track stage, last touch, and next step so intros dont die.
  • Coordinate with internal teams and vendors to support event logistics, run-of-show, confirmations, and dependencies.
  • Confidentiality: handle sensitive conversations and contacts with total discretion.
  • Basic graphic design skills to create quick docs, one-pagers, simple flyers, and presentations.

  • Firm, direct, and confident. Able to grab the CEOs attention and drive specific answers.
  • Detail-obsessed and structured, without overcomplicating tools.
  • Fast, calm, and reliable under pressure.

Qualifications

  • EA experience supporting a founder/CEO in a high-speed environment.
  • Experience in entertainment, events, or production operations.
  • Excellent English communication. Clear, concise writing and follow-up
  • Strong coordination skills across multiple stakeholders, time zones, and shifting priorities.
