Our CEO is seeking a highly reliable and organized Executive Assistant to support both business and occasional personal responsibilities.

About the Role: This role is perfect for someone who thrives in a fast-paced, ever-changing environment and enjoys taking ownership of diverse tasks. As the Executive Assistant to the CEO, you will play a key role in managing day-to-day communications, scheduling, and logistics, while also helping coordinate travel, meetings, and key company events. You'll need to be resourceful, detail-oriented, and able to operate with minimal supervision.

Key Responsibilities:

  • Inbox & Calendar Management: Monitor and manage the CEOs email and calendar, prioritize incoming communications, and schedule meetings across global time zones.
  • Travel Coordination: Organize comprehensive travel arrangements for the CEO and senior executives, including flights, lodging, and itineraries.
  • Meeting Support: Attend key meetings, including weekly production calls and monthly board sessions; capture notes and ensure follow-ups are tracked.
  • Event Planning: Coordinate logistics for company offsites, internal gatherings, and major industry events.
  • Personal & Property Support: Occasionally travel to Florida to assist with personal logistics, including property and contractor coordination.
  • Liaison & Communications: Serve as a professional point of contact between the CEO and internal/external stakeholders.

Ideal Candidate:

  • Proactive and self-sufficient, with strong problem-solving skills
  • Fluent in both English and Russian
  • Needs to be US or EU citizen
  • Excellent communicator with outstanding organizational abilities
  • Sharp attention to detail and strong follow-through
  • Skilled at managing multiple priorities in a fast-moving environment
  • Proficient with Google Workspace, Slack, and Zoom
  • Comfortable providing both professional and personal support, including occasional travel
  • Able to work effectively during Eastern Time Zone hours
