This Privacy Policy explains how Toronto Shine Cleaning (“TSC,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information from individuals who apply for employment or independent contractor opportunities with us (“you,” “applicants”). This policy applies to information submitted through our careers page, applicant tracking system, onboarding forms, email, SMS, and related tools we use during recruitment and onboarding.
Note: This policy is intended for applicants. If you join TSC as an employee or contractor, additional privacy terms may apply.
1) What We Collect
We may collect the following categories of personal information:

Identity & Contact: name, email, phone number, address, preferred work areas.

Work Eligibility: proof of eligibility to work in Canada (e.g., work permit), SIN (employees) or Business Number (BN) if you operate as a company (contractors).

Professional Details: résumé/CV, work history, certifications, references, skills, availability, transportation.

Application Materials: questionnaire responses, interview notes and recordings (if applicable), trial evaluations.

Background Checks (with separate consent): police record check and other lawful screenings required for certain roles.

Technical Data: IP address, device/browser details, and cookies collected by our applicant and scheduling platforms.

Communications: emails, SMS, messages via our ATS or onboarding tools.
Providing certain information may be required to assess your suitability or to comply with legal obligations. If you do not provide required information, we may be unable to process your application.
2) How We Use Your Information
We use applicant information to:

Receive, review, and manage applications; assess qualifications and fit.

Communicate about your application (email, SMS, phone).

Schedule interviews and onboarding steps.

Conduct references and, where permitted and with separate consent, background checks.

Prepare offers/agreements and pre-boarding documentation.

3) Legal Basis & Consent
We collect, use, and disclose personal information with your consent and as otherwise permitted or required by applicable laws (including PIPEDA and the Ontario Human Rights Code). By submitting an application, you consent to our processing of your information for recruitment and onboarding. You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice.
4) Sharing Your Information
We may share your information with:

Service providers that support hiring and onboarding (e.g., Applicant Tracking System, onboarding/scheduling platforms, background-check providers, calendar and video tools).

References and former supervisors you identify.

Government or law enforcement authorities when required by law or to protect our rights or the rights/safety of others.

Affiliates or successors in connection with a corporate transaction.
These parties are required to protect your information and use it only for the purposes we specify.
5) International Transfers
Some service providers may store or process personal information outside of Canada (e.g., the United States). While we require appropriate safeguards, your information may be subject to the laws of those jurisdictions.
6) Retention
We retain applicant information for up to [24] months after the hiring process concludes, or longer if required by law or to establish or defend legal claims. If you become an employee or contractor, your information will be handled under our workforce privacy practices.
7) Security
We use administrative, technical, and organizational safeguards designed to protect personal information against loss, theft, and unauthorized access, use, or disclosure. However, no method of transmission or storage is completely secure.
8) Your Rights & Choices

10) Children
Our careers page and roles are intended for adults legally eligible to work. We do not knowingly collect applicant data from minors.

Our careers page and recruitment tools may use cookies and similar technologies to enable core functionality (e.g., session management, form submissions), measure traffic, and improve the applicant experience. You can control cookies through your browser settings; disabling cookies may affect site functions.
