About the job Virtual Assistant Administration & Systems Support (Electrical Industry)
Key Responsibilities:
- Manage and streamline administration tasks for the General Manager and field team
- Maintain and organize OHNS documentation, safety procedures (SWMS, ladder tags, etc.), and timesheets
- Assist with project handover manual preparation
- Write and submit electrical certificates via an online portal
- Enter and process invoices accurately and on time
- Manage purchase orders (POs) and progress claims within Simpro
- Support bookkeeping processes and assist in maintaining financial records
- Assist in the integration of Safety Minder into Simpro
- Create and maintain clear video process guides for training and onboarding
- Proactively suggest and implement system improvements to streamline operations
- Follow up and chase outstanding tasks to completion
- Communicate clearly and confidently with internal stakeholders like Lauren and Andrew
- Manage deadlines and ensure timely task delivery
What We're Looking For:
- Excellent written and verbal English skills
- Highly organized, analytical, and process-driven
- Self-starter with the ability to identify gaps and fill time productively
- Confident and proactive in following up to drive results
- Ability to learn new software platforms quickly (experience with Simpro & Xero highly valued)
- Familiarity with Australian safety and compliance documentation (preferred)
Bonus Skills (Not Required but Nice to Have):
- Experience in the electrical, construction, or trades industry
- Background in bookkeeping or financial administration
- Prior knowledge of Xero, Safety Minder and/or Simpro systems
