We're looking for a proactive and highly organized Virtual Assistant to support our client, a busy tradesman receiving a high volume of new leads. The ideal candidate will help ensure no opportunity is missed by managing incoming calls, emails, and scheduling efficiently.
Beyond day-to-day tasks, this role is ideal for someone who loves creating order from chaos. You'll be instrumental in setting up backend systems, streamlining operations, and improving overall business efficiency using tools like ServiceM8 and ChatGPT.
Key Responsibilities:

Respond promptly to incoming leads via phone and email

Schedule quotes and manage the calendar efficiently

Set up and maintain admin systems and business processes

Use ChatGPT and ServiceM8 instructional materials to drive improvements

Perform general admin: invoicing, client follow-ups, scheduling

Manage day-to-day communication and client interactions

Provide ad-hoc support as needed
What we are looking for:

Excellent verbal and written communication skills

Strong organizational skills and attention to detail

Self-starter with the ability to work independently and take initiative
- Experience using ServiceM8 (or strong willingness to learn)
- Can cope up with modern technology and familiar with ChatGPT

Prior experience as a VA or in an administrative/scheduling role preferred
