Position Overview
The St. Petersburg office of Traub Lieberman is seeking a dynamic, professional, highly skilled legal administrative assistant to participate in all phases of litigation, preferably with a background in personal injury and products liability. You will be an integral part of an exceptional litigation team. The ideal candidate should be a well-organized self-starter who can manage a high volume of work with accuracy.
Traub Liebermans' St. Petersburg office is seeking a dynamic and highly skilled Legal Administrative Assistant to support all phases of litigation, with preferred experience in personal injury or products liability. As a key member of our litigation team, you will play a vital role in delivering exceptional service to our clients. Key Responsibilities
- Prepare, edit, and format a variety of legal documents, including correspondence, memoranda, pleadings, motions, discovery requests and responses, stipulations, and other complex litigation materials with a high level of accuracy and attention to detail.
- File documents electronically in both State and Federal Courts and have a strong working knowledge of Florida's ePortal system, judicial scheduling procedures, and Federal ECF
- Maintain and monitor litigation calendars, including court deadlines, hearings, and trial schedules.
- Proofread legal documents to ensure proper formatting, grammar, spelling, and consistency.
- Conduct conflict checks and prepare necessary documentation for new file openings.
- Organize, manage, and maintain electronic legal files and case documents.
- Schedule and coordinate hearings, depositions, mediations, independent medical exams (CMEs), meetings, and other legal proceedings.
- Manage calendaring for court orders, deadlines, and miscellaneous case-related dates.
- Handle mailing, copying, and distribution of legal documents.
- Maintain clear and professional communication with insured clients.
- Manage and track non-party subpoena responses and follow-ups.
- Monitor and complete delegated tasks and assignments in a timely manner.
- Input attorney-related expenses accurately into the system.
- Review, process, and submit vendor invoices for payment.
- Perform additional administrative or legal support tasks as assigned.
Qualifications
- High school diploma or equivalent required; additional legal or administrative training is a plus
- Minimum of 3 years of experience as a legal secretary or legal administrative assistant, with a focus on personal injury and product liability defense
- Demonstrated ability to effectively prioritize tasks and meet tight deadlines
- Ability to adapt quickly, manage multiple responsibilities, and work efficiently under pressure
- Excellent organizational skills and keen attention to detail
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint)
- Experience with legal software such as Worldox, iManage, Chrome River, and Aderant preferred; familiarity with billing and case management systems is a plus
- Typing speed of 6080 words per minute with high accuracy
- Positive, professional attitude with a collaborative and team-oriented approach
