Job Description

We are seeking a reliable and detail-oriented Administration Executive to support invoicing, documentation, reporting, and client coordination across operational and financial workflows.

This position ensures structured administrative processes, accurate records, timely invoicing, and clear communication between clients and internal departments.

Key Responsibilities

  • Receive and track service/job requests using spreadsheets or tracking tools

  • Generate and submit invoices via Zoho Books or equivalent accounting software

  • Verify invoice accuracy, ensure date alignment, and maintain proper documentation archives

  • Communicate with client representatives to confirm job completion and manage purchase orders

  • Upload invoices and supporting documents to client procurement portals

  • Coordinate with internal and external stakeholders to confirm goods receipt and payment status

  • Maintain administrative and financial logs (invoices, POs, vendor bills, etc.)

  • Prepare periodic reports on invoicing, payments, and completion metrics

Candidate Profile

  • Experience in administration, accounting, or financial documentation

  • Strong understanding of UAE VAT regulations

  • Proficient in Zoho Books and Excel/Google Sheets

  • Excellent organizational and communication skills

  • Familiar with procurement portals and structured reporting tools

  • Background in the automotive sector is an advantage

  • Must hold a valid UAE visa (e.g. family sponsorship)
