Our esteemed client, an established MNC, is searching for a Site Admin cum PRO:

Job Responsibilities:

  • Report directly to the Project Manager and provide full administrative and project coordination support.
  • Update organization charts, project directories, weather reports, and manpower records for quarterly and monthly project reporting.
  • Manage daily office operations including incoming calls, printers, scanners, Wi-Fi, and staff IT-related matters; liaise with HR/IT at HQ for support.
  • Handle workers monthly salary, supplier payments, petty cash, site passes, induction records, and assist with project correspondence and document filing for audits.
  • Manage site staff timesheets, leave applications, OT submissions and onboarding of new employees.
  • Circulate project correspondence to site staff, ensuring proper endorsement and ISO-compliant filing.
  • Understand workers pay policy and process monthly wages accurately and on time.
  • Update foreign workers residential addresses, manage their courses, work permit cards, and passports.
  • Arrange workers dormitory and transportation logistics.
  • Assist site staff in ordering hardware materials and maintain proper records (requisition forms, D/Os, etc.).
  • Handle and resolve conflicts, feedback, and complaints related to the project.
  • Liaise with internal teams, clients, residents, authorities, and external parties on project matters.
  • Prepare circulars, letters, notices, and project progress updates.
  • Attend meetings or dialogue sessions when required.
  • Report and seek management approval for any proposed action plans affecting project matters.
  • Coordinate staff/worker courses and ensure proper documentation and filing.
  • Provide general administrative support to the project team and perform any other assigned duties.

Job Requirements:

  • Minimum 5 years of experience in site administration or project coordination within the construction industry.
  • Diploma/Certificate in Business Administration, HR, or related field (preferred).
  • At least 1 WSQ Statement of Attainment is an advantage.
  • Strong understanding of site administrative processes, workers payroll, HR documentation, and ISO filing requirements.
  • Good communication and interpersonal skills to handle clients, residents, authorities, and workers.
  • Meticulous, well-organized, and able to manage multiple tasks independently.
  • Proficient in Microsoft Office and basic IT troubleshooting for site operations.
  • Ability to work under pressure, maintain confidentiality, and handle sensitive matters professionally.

Additional Information:

  • Salary: Up to SGD 3,300 +AWS +VB (1-2 Months)
  • Working Location: City Hall
  • Working Hours: 5 Days Work, 9am - 6pm
