We're looking for a highly organized and proactive Marketing Administrator to support our growing marketing team in delivering seamless campaigns and brand initiatives. This role is the operational backbone of our marketing efforts managing schedules, tools, assets, reports, and vendor coordination so the creative minds can focus on execution and innovation.

You'll work closely with content creators, designers, digital marketers, and external partners to ensure projects run smoothly, deadlines are met, and marketing assets are well organized and accessible. If you're a detail-oriented multitasker who loves processes, planning, and getting things done behind the scenes this is for you.


Key Responsibilities

Marketing Operations & Coordination

  1. Support day-to-day coordination of marketing campaigns, projects, and deliverables
  2. Maintain project timelines, calendars, and task boards (e.g., Microsoft Teams, G-Suite, Monday.com)
  3. Schedule internal reviews and ensure on-time approvals with relevant stakeholders
  4. Organize team meetings, take minutes, and track action items

Asset & Documentation Management

  1. Manage the organization and versioning of marketing assets in shared drives or DAM systems
  2. Maintain databases of campaign creatives, copy files, case studies, and brand materials
  3. Ensure all assets follow brand guidelines and are archived correctly

Reporting & Analytics Support

  1. Assist in gathering campaign performance data from platforms (Google Analytics, Meta, LinkedIn, HubSpot, etc.)
  2. Compile reports and dashboards for weekly/monthly reviews
  3. Coordinate with marketing and other teams to align KPIs and data tracking

Vendor & Partner Coordination

  1. Liaise with printers, ad platforms, media partners, and freelancers to coordinate deliverables
  2. Track invoices, contracts, and vendor timelines
  3. Support procurement of marketing materials for events, swag, and campaigns

Admin & Internal Support

  1. Update internal comms and marketing status dashboards
  2. Help prepare internal newsletters, presentations, or team-wide announcements
  3. Support onboarding of new team members with marketing orientation kits and tools


Qualifications

Technical & Tool Proficiency

  1. Project Management Tools: Proficiency in tools such as Monday.com with proven experience managing and tracking marketing projects/ campaigns
  2. Productivity Tools: Advanced knowledge of Google Workspace (Docs, Sheets, Slides, Drive) or Microsoft Office (Word, Excel, PowerPoint, Outlook)
  3. Digital Marketing Tools (basic exposure required):
    • CRM: HubSpot
    • Email Marketing: Mailchimp
    • Social Media: Meta Business Suite, LinkedIn Campaign Manager
    • Analytics: Google Analytics

4.  Asset Management: Experience with digital asset management (DAM)        tools and maintaining organized shared drives (e.g., Google Drive,  Dropbox, SharePoint)

Project Management & Organizational Skills

  1. Proven ability to coordinate multiple campaigns and timelines simultaneously
  2. Experience managing internal communications and status updates for cross-functional marketing or creative teams
  3. Ability to prioritize tasks independently while balancing short-term urgencies and long-term goals
  4. Comfortable managing checklists, timelines, documentation, and approvals for marketing workflows

Communication & Documentation

  1. Excellent verbal and written communication skills, with the ability to draft clear briefs, emails, summaries, and internal updates
  2. Experience taking meeting notes, capturing action items, and following up across departments
  3. Skilled in preparing internal documents such as campaign summaries, team calendars, and post-campaign reports
  4. Ability to communicate effectively with external vendors, freelancers, and agency partners

Marketing & Campaign Awareness

  1. Familiarity with marketing campaign lifecycles from ideation to launch and performance review
  2. Understanding of core marketing concepts: brand voice, customer journey, personas, engagement KPIs, SEO basics, etc.
  3. Awareness of global campaign sensitivities especially for multi-language or multi-region campaigns
  4. Knowledge of social media platforms, content scheduling tools, and campaign reporting basics
