A. PROFILE
Role Title: PMO Specialist
Reporting to: PMO Manager
Division: Project Planning & Controls

B. CONTEXT
Purpose: To provide an overview of projects report/docs and highlight key performance metrics and trends to give comprehensive view of project to identify opportunities and improvement to Management and, to ensure that the project related documentation, reports and plans are relevant and accurate.
In addition, the role manages acceptance to ensure deliverables meet contractual requirements, technical specifications, and quality standards, enabling successful project acceptance, handover, and continuous improvement.
Context: Technology & Information is responsible for development and planning of the long/medium term technology network roadmap and architecture for both network and IT in line with corporate overall strategic requirements and technology strategy and to ensure that all network and it projects are aligned with the medium-term Network roadmap.
C. ROLE ACCOUNTABILITIES
Project Governance
- Assists Project Owner in streamlining the PMO process and project methodologies across cross functional departments.
- Work with the Program/Project Manager to define, document, agree and implement project/program organization and governance.
- Assist in the process of identifying, defining and reviewing benefits, developing and tracking benefits realization plans, and handover to operational business owners.
Planning and Controls
- Support the program/project manager to define project/program scope (in consultation with cross-functional teams of senior managers).
- Develops, maintains, and manages detailed project plans, action item registers, and major milestone timelines for all assigned projects.
- Effective delivery of assigned projects within time and cost, according to the desired business outcome.
- Manages project status and information in the form of formal briefings, project update meetings, and written, electronic, and graphic reports.
- Ensuring that any changes to scope, cost and/or schedule are identified, assessed, and then approved or rejected following the appropriate governance requirements.
- Manage and maintain the relationship with all stakeholders.
- Monitoring, analysing, tracking to ensure activities are occurring as planned - scope, budget and schedule.
- Proactive work attitude, ability to identify issues and formulate recommendations and solutions.
Reporting and Communication
- Own the overall reporting process and ensure timely, accurate and tailored reporting to relevant audiences of progress.
- Manages project status and information in the form of formal briefings, project update meetings, and written, electronic, and graphic reports.
- Control and complete the final report, project document update and transitions on project closing.
Acceptance
- Support regional organisations in Acceptance related issues and changes (solving escalated issues)
- Manage and coordinate site/cluster handover for operations
- Respect and fulfil all U9 policies and financial controls associated to project
D. KEY PERFORMANCE INDICATORS
- Data relevant, accurate and complete within timeline for all Tech reports and projects related Document under PMO.
- To closely work with team for project Governance and process improvement.
- Develops, maintains, and manages detailed project plans, action item registers, and major milestone timelines for all assigned projects.
- Issuance of Acceptance Certificate to relevant vendors as per milestone completion.
E. WORKING RELATIONSHIPS & DECISION MAKING
Interacts with:
Internal: Project Managers/Coordinators/Cross Functions
External: Vendors / Supplier PMO if required

F. EXPERIENCE AND QUALIFICATIONS
Minimum Experience & Essential Knowledge
- 2 Years of experience in project management
- 1 Year total experience of Telco Project Management in PMO level with Project Coordination / administration
- Excellent knowledge in telecom implementation and acceptance procedures on full turnkey project environment
- Demonstrated experience in successfully building quality culture
Minimum Entry Qualifications
- Degree or equivalent Prince2/PMP QMS knowledge.
