Position: Administrative & Customer Service Specialist

Overview

We are seeking a proactive and highly organized Administrative & Customer Service Specialist to support our growing home service business. This role will be responsible for customer communication, scheduling, CRM management, lead follow-up, and day-to-day administrative operations. The ideal candidate is an excellent communicator, highly detail-oriented, and capable of taking ownership of tasks while providing exceptional customer service.

Key Responsibilities

Customer Service & Communication

  • Communicate professionally with customers and prospects via phone, email, and text.
  • Respond to inquiries and provide outstanding customer support.
  • Follow up with leads and maintain strong customer relationships.
  • Make outbound calls to businesses for referral and networking opportunities.

Scheduling & CRM Management

  • Manage incoming leads and schedule in-person estimates efficiently.
  • Coordinate appointments using Google Calendar while optimizing travel routes and drive times.
  • Maintain accurate customer records, notes, and job statuses in Jobber.
  • Utilize OpenPhone and CRM systems to manage customer communication.

Operations & Administrative Support

  • Monitor weather forecasts and assist with scheduling adjustments and job rescheduling.
  • Support daily office operations and ensure smooth communication between customers and the field team.
  • Maintain organized records and administrative systems.
  • Report directly to leadership and provide regular updates on tasks and progress.

Marketing Support

  • Create and post content using Canva and CapCut.
  • Assist with maintaining the company's presence on Facebook, Instagram, LinkedIn, Nextdoor, Google Business Profile, and other platforms.

Qualifications

  • Strong verbal and written English communication skills.
  • Experience with Jobber or similar CRM systems preferred.
  • Proficiency with Google Workspace (Gmail, Calendar, Sheets, Docs).
  • Comfortable making phone calls, scheduling appointments, and managing customer relationships.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and take ownership of responsibilities.
  • Familiarity with social media platforms and basic content creation tools.
